Position Overview:
The Operational Specialist is tasked with managing communication, tracking, and project coordination within our Operations Department. Recognizing that effective processes are crucial for a successful workflow, we seek a motivated individual to enhance our daily operations, ensuring efficiency and budget compliance. The ideal candidate will possess strong communication skills, problem-solving abilities, and a knack for time management across various tasks.
This role encompasses support for daily internal operations, sourcing communication, and maintaining timelines, alongside updating our internal development calendar weekly. Regular interaction with department managers, factories, and collaborators is essential for success in this position. The Operational Specialist will also play a vital role in project organization, coordination, and tracking processes across Modern Matter, contributing to seamless project launches measured by client satisfaction and operational efficiency.
Key Responsibilities:
- Propose and implement new procedures to enhance daily operational efficiency.
- Establish and maintain quality control measures across the department.
- Facilitate communication with the Head of Operations, Warehouse Lead, staff, and vendors to ensure compliance with established protocols.
- Assist in planning and coordinating operational activities.
- Oversee and optimize inventory management practices.
- Ensure operations comply with local and national regulations.
Daily Duties:
- Monitor daily operations, provide performance reports, and suggest actionable improvements.
- Manage supply orders and inventory, collaborating with finance departments to adhere to budget constraints.
- Create and distribute operational procedures and protocols.
- Coordinate with employees and vendors to ensure smooth operations.
- Onboard and train new warehouse staff on standard operating procedures.
- Manage project timelines from product development to launch.
- Provide regular updates on project status to stakeholders.
- Maintain thorough documentation throughout the project lifecycle.
- Support operations teams with NetSuite, troubleshooting issues as they arise.
Qualifications:
- Demonstrated organizational skills, particularly in time management.
- Experience in project management.
- Strong analytical and problem-solving capabilities.
- Ability to work independently with minimal supervision.
- Excellent verbal and written communication skills.
- Meticulous attention to detail.
Preferred Qualifications:
- Two or more years of experience in an operational or procurement role.
- Familiarity with ERP systems, particularly Oracle NetSuite, and proficiency in Microsoft Excel.
- Associate's degree or equivalent in logistics or supply chain management.
