Position Summary
The Patient Access Representative II plays a crucial role in establishing the initial connection between patients and our healthcare services. This position is essential for managing scheduling, registration, and insurance verification for both outpatient and inpatient services. The representative is responsible for collecting accurate demographic information and securing necessary authorizations for medical procedures, acting as the primary point of contact for patients seeking services.
Key Responsibilities
- Engages with healthcare providers and their office staff to gather diagnosis, procedure details, or authorization information as required.
- Processes scheduling requests using the appropriate scheduling software, ensuring alignment with physician orders.
- Collects diagnosis and procedure information from patients and clinical departments to conduct necessary screenings.
- Collaborates with physician office staff and case management to facilitate the certification process for services.
- Addresses any insurance verification and financial clearance issues prior to or during patient services, including contacting insurance providers to resolve eligibility and benefits concerns.
- Conducts interviews with patients, either in person or via phone, to gather essential scheduling and registration information.
- Manages incoming calls, exercising discretion in scheduling patients for the correct procedures in the appropriate service areas.
- Ensures complete and accurate demographic, financial, and clinical information is entered into the electronic health record system for registration.
- Provides timely and comprehensive information to all stakeholders utilizing patient data.
- Reviews registration accounts for accuracy to ensure proper reimbursement for services rendered.
- Obtains necessary signatures on consent forms and other critical documents as per hospital policies.
- Explains financial responsibilities to patients, negotiating deposits and payment arrangements as needed.
- Verifies insurance benefits using electronic applications or direct communication with insurance carriers, securing authorizations for applicable visits.
- Ensures all required documentation is scanned into the patient’s electronic health record accurately.
- Participates in cross-training for additional functions within the division as assigned.
- Mentors new registration staff and provides constructive feedback to management regarding departmental workflow.
- Assists management with special projects and reporting as needed.
- Serves in a leadership capacity for departmental initiatives and goals.
- Performs other duties as assigned.
- High School Diploma or equivalent (GED) is required.
- Associate Degree is preferred.
- Bachelor’s Degree is preferred.
- 1 to 2 years of experience in Registration and/or Billing within a healthcare environment is required.
- 3 to 5 years of customer service experience is required.
- Strong communication skills (both written and verbal), attention to detail, organizational skills, and the ability to multitask are essential.
- Experience in Insurance Verification is required.
- Familiarity with EPIC and medical office workflows is preferred.
- Proficiency in Microsoft Office and PC-based applications (Outlook, Word, Excel) is preferred.
