This role will collaborate with external vendors, legal firms, and internal Legal department personnel to comprehend business needs and devise application solutions that align with those needs.
Key Responsibilities:
Demonstrate eagerness to learn and support the implementation of the Legal Tracker (previously known as Serengeti) matter management system, focusing on electronic billing.
Oversee the e-billing component of the Legal Tracker, ensuring accurate process flows, general ledger expense coding, and data integrity across the system.
Manage the workflow of all legal invoices, including documentation, approval processes, and vendor payments.Investigate and resolve all billing discrepancies within the legal department, including monitoring the Legal Tracker for errors.
Conduct periodic budget analyses for the legal department, assessing expenditure trends, patterns, discrepancies, and forecasts.
Present findings, reports, and recommendations to management regarding cost and budget metrics.
Custom report creation within the Legal Tracker.
Audit and oversee the coding and integrity of entries in the Legal Tracker system.
Exhibit exceptional time management skills with the ability to organize and prioritize key tasks and deliverables.
Assist with annual audits and quarterly reviews.
Forecast monthly expenses and project costs.
Manage budgeting for cost centers, expenses, and projects.
Handle monthly and quarterly accruals.
Effectively manage a high volume of invoices under audit while maintaining pace with the workload.
Field vendor inquiries and appropriately route invoices.
Review and verify invoices and check requests.
Sort, code, and match invoices.
Prepare invoices for payment.
Enter and upload invoices into the system.
Process electronic transfers and payments.
Record transactions in journals, ledgers, and other records.
Reconcile accounts payable transactions.
Monitor accounts to ensure timely payments.
Research and resolve invoice discrepancies and issues.
Communicate with vendors and respond to inquiries.
Assist with month-end closing activities.
Perform additional duties as assigned.
Requirements:
To excel in this position, an individual must effectively perform each essential job duty.
Required Qualifications:
Bachelor's degree or equivalent professional experience. A degree in accounting or a related field, or 5+ years in accounts payable or general accounting/auditing experience is preferred.
Familiarity with SAP and Legal Tracker.
5+ years in an accounting environment, including accounts payable and billing, is preferred.
Strong understanding of US GAAP.
Demonstrated time management skills; ability to manage multiple projects, meet deadlines, and operate independently and efficiently in a fast-paced environment.
Strong attention to detail.Analytical skills.
Problem-solving abilities with a capacity to identify and address issues directly.
Friendly, positive, and enthusiastic demeanor with the ability to interact effectively with others.

Experience requirements vary by job level:
The Specialist/Analyst level requires a Bachelor's degree and 2-5 years of relevant experience.
The Senior Specialist/Analyst level requires a Bachelor's degree and 5-8 years of relevant experience.
The Lead Specialist/Analyst level requires a Bachelor's degree and 8+ years of relevant experience.
Working Conditions:
Typically, standard office working conditions.
Must be able to remain in a stationary position for 50% of the time due to prolonged periods of sitting or standing.
Occasional overnight travel may be necessary.Occasional visits to industrial or manufacturing environments may occur, which could involve exposure to various materials and chemicals, as well as extreme temperatures and loud machinery, necessitating appropriate personal protective equipment.
