Position Summary- Accountable for delivering frontline administrative assistance to residents, visitors, and both internal and external personnel.

Key Responsibilities
  • Manage the telephone switchboard to receive, filter, and redirect calls, furnish information, and address inquiries; take messages as necessary.
  • Monitor and manage all voicemail communications, including those received via email.
  • Welcome all residents and guests in a polite and professional manner; guide or accompany individuals to their intended locations.
  • Conduct daily resident check-in/check-out procedures; ensure residents are documenting their presence in the front desk log.
  • Record daily safety incidents and resident fall reports; maintain snow log reports when applicable.
  • Oversee the Nurse Call system and respond appropriately to alerts.
  • Input transportation and maintenance requests into the system as required.
  • Sort and distribute all incoming mail, internal messages, and packages to residents and staff members.
  • Coordinate reservations for the private dining area for residents and their guests.
  • Familiarize oneself with emergency communication systems and protocols (fire, medical, and police).
  • Keep the immediate supervisor informed of all significant occurrences or unusual matters that arise to facilitate prompt action.
  • Direct all potential residents and their families to the leasing team.
  • Distribute application forms to prospective employees.
  • Perform additional duties and special projects as assigned.
Qualifications
  • High School diploma; or three to five years of relevant experience and/or training or an equivalent combination of education and experience.
  • A minimum of three years of administrative experience.
  • Experience with elderly populations is advantageous.
  • Intermediate proficiency in computer skills, including knowledge of Microsoft Office Suite.
  • Exceptional customer service abilities; must demonstrate patience and empathy.
  • Ability to respond to emergencies with composure.
  • Work Schedule: Monday to Friday, 8:30 AM to 4:30 PM.
  • Compensation: $14.00 to $16.00 per hour; includes competitive health insurance and benefits.
