Property Coordinator

We are seeking a highly organized and detail-oriented Property Coordinator to join our team at Unibail-Rodamco-Westfield. As a key member of our center management team, you will be responsible for providing administrative support to our property operations, ensuring seamless day-to-day operations, and contributing to the overall success of our business.
Key Responsibilities:- Manage center-level administration, including service contract and vendor administration, finance administration, and tenant administration and coordination.
- Coordinate and execute the on-site Specialty Leasing and Brand Ventures program, providing exceptional service to customers, including guests, retail partners, contractors, and internal cross-functional teams.
- Monitor and manage compliance of center teams with company policies and procedures.
- Process payables, accounts receivable, and other finance processes, including accounts payable, accounts receivable, and manual billing.
- Support Specialty Leasing and Brand Ventures operations, coordinating center-level programs, and managing temporary in-line and common area mall activations.
- Perform center walks/inspections, ensuring tenant activation complies with visual merchandising design guidelines.
- Monitor pipeline activity, distributing reports to center teams, and planning activation schedules.
- Arrange regular communications with center teams and Specialty Leasing teams to align on activity and troubleshoot issues.
- Obtain permits from local authorities, support tenants with the same, and obtain tenant certificates of insurance and upload to Salesforce.
- Coordinate the roll-on roll-off of units, issue instructions to Facility Operations, and follow through to completion.
- Issue meter readings and utilities supplier information to tenants (in-line stores and kiosks only).
- Inventory management in partnership with Facility Operations, communicating maintenance and repairs, creating associated purchase orders/invoices, and forecasting expenditures.
- Take photos of activations, media, and space opportunities and upload them to Salesforce as required.
- BA or BS degree or equivalent experience required.
- 2-3 years' prior experience in an administration role, working with cross-functional teams.
- Experience of basic finance administration: processing purchase orders/invoices, assisting with accruals and budget forecasting.
- Proficient in current Microsoft Office software, including Outlook, Word, Excel, PowerPoint, and SharePoint. Working knowledge of enterprise management systems (Salesforce) and project management software (Procore) is advantageous.
- Ability to understand and interpret legal agreements.
- Ability to conform to policies and procedures and familiarity of working within a compliance framework.
- Ability to respect confidentiality and sensitivity of information.
- Exceptional process management skills: can organize and prioritize an efficient workflow, simplify complex processes, anticipate, and adjust for problems and roadblocks, adapt to changing priorities, and manage from start to finish.
- Exceptional customer service skills and the ability to develop and maintain effective relationships; dedicated to meeting the expectations and requirements of internal and external customers, specifically through listening and responding to concerns both in the moment and via digital communication means.
- Ability to maintain composure in all scenarios.
- $30-$40 per hour.
