SURGICAL SCHEDULER EXPERT
The primary function of the Surgical Scheduler Expert is to manage the scheduling of surgical procedures while ensuring compliance with clinical policies, as well as federal, state, and local regulations. This position will report directly to the Practice Administrator and is designed as a part-time role, requiring availability three days a week from 8 AM to 4 PM. The compensation for this position ranges from $17 to $20 per hour.
KEY RESPONSIBILITIES
- Welcome patients, healthcare providers, and staff in a professional and courteous manner.
- Provide support and guidance to patients throughout their surgical journey.
- Manage the scheduling, rescheduling, and cancellation of surgical appointments.
- Ensure patients receive clear instructions regarding their surgical procedures.
- Communicate effectively with surgical candidates to arrange appointments and inform them about pre-operative requirements and timelines.
- Coordinate necessary pre-operative appointments and testing, including lab work and diagnostic evaluations.
- Review and organize patient files, ensuring all documentation is complete and accurately scanned.
- Engage with insurance companies to verify benefits, eligibility, and obtain necessary authorizations.
- Maintain open communication with operating room staff.
- Update electronic medical records as required.
- Handle phone inquiries, check voicemails, and return calls in a timely manner.
- Assist with general patient scheduling tasks as needed.
- Occasionally perform duties as a Medical Assistant when staffing is limited.
- Collaborate with physicians to ensure an efficient surgical schedule.
- Uphold confidentiality and professionalism in all interactions.
- Complete additional tasks and projects as assigned by the Practice Administrator.
QUALIFICATIONS
- A minimum of one year of experience in surgical scheduling, either in a hospital or clinic setting.
- A Bachelor’s degree from an accredited institution is preferred.
- Familiarity with CPT and ICD coding.
- Strong organizational skills and meticulous attention to detail.
- Excellent verbal and written communication skills.
- Effective time management abilities.
- Strong analytical and problem-solving capabilities.
- Ability to remain composed in high-pressure situations and manage multiple tasks simultaneously.
- Demonstrated commitment to providing exceptional customer service.
- Proficiency in PC-based applications, including Microsoft Office Suite and electronic health record systems.
- Bilingual skills in Spanish or Polish are preferred.
SUPERVISORY ROLE
This position does not include supervisory responsibilities.
