Position Overview
This role is primarily accountable for the upkeep, management, retrieval, inventory, and workflow within the Health Information Management Department for various facilities. The HIM Supervisor oversees the daily planning, operations, and problem-solving to ensure that each team achieves the necessary productivity levels. Regular monitoring of team responsibilities is essential, and performance evaluations may be conducted through daily observations. Any coaching should be directed to departmental leadership.

Role and Responsibilities
The Supervisor is expected to act as a role model for staff in terms of work performance, ethical standards, and efficiency, while facilitating the development and execution of team processes. The individual must be ready to assist as part of the departmental leadership team to meet business objectives, quality outcomes, and customer satisfaction. In this capacity, the Supervisor will keep management informed about equipment, staffing, and supply requirements, and will communicate operational challenges effectively.

The incumbent will contribute to long-term planning by establishing goals and objectives, engaging staff in problem-solving and process enhancements, and providing management with statistical data to support informed decision-making.

The Supervisor is responsible for safeguarding patient information and enforcing privacy and confidentiality policies in compliance with federal and state regulations. Any breaches must be reported to HIM Management immediately. Familiarity with basic computer operations is required, along with the ability to train others in HIM computer-based processes. Consistency, accuracy, promptness, and adherence to productivity standards are critical.

Key Responsibilities
  • Operations: The Supervisor coordinates the timely execution of HIM functions, providing leadership, direction, training, and mentoring to team members, ensuring equitable work distribution and staff empowerment in process improvement and daily decision-making. Monitoring and maintaining turnaround times for chart completion in the electronic health record system is essential.
  • Transcription: Effective communication with other departments is vital to ensure optimal service delivery. The Supervisor collaborates closely with transcription vendors and IT departments to ensure proficiency and minimal downtime, analyzing turnaround times and quality of vendor performance.
  • Coding: The Supervisor monitors and addresses coding-related queries and issues, following up with physicians on outstanding items affecting coding, and collaborating with HIM operations to assist physicians in completing necessary information.

  • Staff scheduling (with leadership support as needed)

  • Leading and participating in scheduled training sessions
  • Reporting team progress and activities to HIM Leadership
  • Assisting in identifying suitable candidates for recruitment
  • Supporting new team members during onboarding
  • Providing customer service assistance during shifts when appropriate
  • Submitting suggestions for enhancing productivity and quality of work for the team
