The Academic Support Services Coordinator plays a vital role in coordinating and managing essential services while implementing processes that enhance credit programming at City Colleges of Chicago.

Reporting directly to the Dean, this position is responsible for supporting the Latino Alzheimer's and Memory Disorders Alliance (LAMDA) initiative, specifically for the Community Health Worker (CHW) training program. This grant-funded role will facilitate the completion of a basic certificate for a cohort of students, ensuring that the programming aligns with community needs and provides high-quality educational experiences.

Key Responsibilities:

  • Oversee the enrollment workflow, collaborating with Admissions, the Registrar, and other administrative staff to ensure effective course scheduling during registration periods.
  • Assist prospective students by providing detailed course information and completing necessary registration documentation.
  • Address student inquiries and complaints, working closely with instructors and administrative personnel to resolve issues efficiently.
  • Plan and organize the class schedule for each term, analyzing past enrollment data and community needs to determine appropriate course offerings.
  • Utilize Campus Solutions (CS9) to schedule courses, ensuring accurate entry of course details such as sections, descriptions, room assignments, instructors, and fees.
  • Prepare and process contracts for instructors, calculating pay rates according to institutional guidelines and confirming their availability.
  • Support instructors by fulfilling their instructional needs, including ordering textbooks and reserving necessary equipment.
  • Monitor class registration activity, canceling courses that do not meet minimum enrollment requirements and notifying all relevant parties.
  • Complete administrative paperwork for new courses, collaborating with the Workforce Development Office to secure necessary approvals.
  • Coordinate marketing efforts with the District Office to promote course offerings, including creating promotional materials and participating in college events.
  • Maintain accurate records of attendance and grades within Campus Solutions (CS9), ensuring compliance with institutional policies.
  • Regularly update the college's web page with current information regarding courses and office operations.

Qualifications:

A Bachelor's degree from an accredited institution in Business Administration, Education, Public Policy, or a related field is required. Candidates should possess three to five years of relevant experience in an administrative or program management role, preferably within a non-profit or higher education context. A combination of education and experience may be considered, provided the minimum degree requirement is met.

The ideal candidate will be a strong collaborator, capable of working effectively in a dynamic, team-oriented environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential. Bilingual proficiency in English and Spanish is preferred, along with experience working in educational settings and with families.
