**Job Summary:**

The Patient Service Representative plays a vital role in ensuring the smooth operation of our clinic. This position requires strong communication and organizational skills, as well as attention to detail.

Key Responsibilities:

  • Answering phone calls in a timely and professional manner, preparing messages for staff and maintaining the voice messaging system.
  • Greeting patients, physicians, and visitors, directing them to the appropriate staff or waiting area in a friendly and helpful manner.
  • Preparing documentation prior to visits, collecting current co-pays and outstanding balances at time of service.
  • Triage, compose, and route messages from patients and other customers to the appropriate recipient.
  • Verifying demographic data, scanning insurance cards and identification into the EHR, ensuring current information is obtained.
  • Accurately providing information to outside customers, hospitals, pharmacy, etc., to verify patient information recorded in the medical record.
  • Scheduling patient appointments accurately following division specific guidelines and in a timely fashion.
  • Entering all patient appointments in scheduling application, ensuring patient demographic details are captured.
  • Sending/receiving patient records, obtaining outside notes, reports, and referrals, managing charts to ensure information is completed and filed appropriately.
  • Processing patient portal areas in EHR for appointments and cancellations.
  • Entering all patient appointments in computer, preparing patients' charts, verifying insurance verification has been completed.
  • Responsible for payments received at the office, adhering to the UTP Cash Handling Policy and Procedures.
  • Making bank deposits/cash collections according to the UTP Policy and Procedures if applicable.
  • Assisting with monthly reporting for scheduling and testing as ordered by a Physician.
  • Retrieving and distributing daily mail appropriately.
  • Rescheduling patients in the event of an emergency or cancellation as set forth by Medical Director or Practice Administrator.
  • Performing special projects as assigned to maximize department revenue cycle operations.
  • Attending required meetings and participating in committees as requested.
  • Adhering to workflow design established for the department and meeting all job performance standards.
  • Maintaining confidentiality in all matters concerning the practice and patients, per HIPAA policy.
  • Maintaining a clean and safe work environment.
  • Maintaining a professional appearance and possessing a positive patient-centered focus at all times.

Salary Information: $45,000 - $55,000 per year based on experience and qualifications.
