Accounts Receivable Clerk

We are currently seeking a dedicated Accounts Receivable Clerk for a prominent organization. This full-time role is essential in managing the financial transactions related to customer payments.

Position Overview:

The Accounts Receivable Clerk plays a critical role in ensuring timely payment collection from clients, contributing to the financial health of the company.

Work Environment:

This position offers flexibility with a minimum requirement of four days in the office and one day remote each week. Work hours are adaptable, with a commitment of six to eight hours daily.

Key Responsibilities:

  • Maintain and update financial databases and records.
  • Engage with customers to facilitate payment requests and arrangements.
  • Accurately record payments received from clients in the accounting system.
  • Generate financial reports and balance sheets to reflect overall financial performance.
  • Update customer accounts to reflect payment status.
  • Ensure the accuracy of all financial records and reports.
  • Identify and follow up on overdue accounts.
  • Communicate effectively with clients to understand their financial situations.
  • Assist with basic administrative tasks as needed.
  • Process all financial transactions related to accounts receivable.
  • Create and submit invoices in accordance with company protocols.
  • Maintain and organize customer files, including updates on contact information.
  • Draft correspondence for overdue accounts and manage collections.
  • Prepare reports on customer account statuses as required.
  • Investigate discrepancies in customer accounts.
  • Reconcile accounts receivable on a regular basis.
  • Assist in the preparation of monthly billing statements.
  • Reconcile revenue accounts monthly.
  • Perform filing and retrieval of accounts receivable documents as necessary.
  • Communicate updates to relevant team members.
  • Complete other related tasks as assigned.

Required Qualifications:

The ideal candidate should have experience in industries such as HVAC, Electrical or Mechanical Engineering, or Construction.

Essential skills include:

  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and accounting software.
  • Ability to work independently in a dynamic environment.
  • Proactive approach to work responsibilities and professional customer interactions.
  • Excellent organizational skills and attention to detail.
  • Moderate to advanced knowledge of QuickBooks, particularly recent versions.
