POSITION OVERVIEW:

The Solar Operations Coordinator plays a crucial role in supporting various solar initiatives, administrative functions, and operational tasks within the branch. This position is accountable for overseeing the project pipeline and ensuring the team meets Key Performance Indicators while managing financial transactions. The Coordinator will collaborate closely with the Branch Manager to prepare documentation for construction teams, coordinate project payments, and liaise with different departments within the branch and corporate headquarters.

KEY RESPONSIBILITIES:
  • Analyze and prepare pipeline reports, engage with branch personnel to review project statuses, and escalate issues as necessary.
  • Communicate effectively with the Branch Manager, Project Manager, Permit Coordinator, Field Manager, and Site Audit Supervisor to guarantee timely project completion with a strong focus on customer satisfaction.
  • Conduct team meetings to provide updates on project details.
  • Assist in resolving escalated project challenges and ensure they progress smoothly.
  • Monitor the project pipeline to prevent delays.
  • Support routing and scheduling tasks as required.
  • Arrange meetings with clients to secure signatures, finalize paperwork, and collect payments. Organize completed documentation and process payments securely and compliantly, if assigned.
  • Prepare essential project documentation for construction teams.
  • Manage office operations and maintain the branch filing system.
  • Coordinate and document meeting notes and cross-functional marketing efforts when assigned (e.g., Safety Meetings, Branch Staff Meetings, corporate communications).
  • Ensure that the Order Management and Accounting Departments (A/P and A/R) receive necessary project information for invoicing.
  • Assist the Branch Operations Manager with additional tasks as assigned.
  • Perform other duties as required.
QUALIFICATIONS:

Education & Certifications:
  • High School Diploma or GED.
Experience:
  • 2-4+ years of prior experience in project administration or field construction.
Knowledge, Skills & Abilities:
  • Strong verbal and written communication skills.
  • Exceptional organizational and time management abilities.
  • Detail-oriented with a preference for a fast-paced work environment.
  • Strong work ethic and reliability.
  • Ability to prioritize and manage multiple tasks simultaneously with a high degree of organization.
  • Valid state driver's license and a clean driving record are required.
Special Skills & Training:
  • Proficient in computer applications, including MS Word, Excel, Outlook, and internet navigation; experience with Oracle is a plus.
PHYSICAL DEMANDS:
  • Regularly spend extended periods sitting and using office equipment and computers.
  • Frequently engage in phone and email communications.
  • Ability to transition between sitting and standing positions effortlessly.
  • Intense concentration is required for reviewing and entering information into a computer.

TRAVEL REQUIREMENTS:

Employees may be required to travel for business purposes, excluding the daily commute. A valid Driver's License and insurance are necessary, along with the ability to drive a personal vehicle to various sites.
