Position Overview:

The Jewelry Repair Service Coordinator is tasked with overseeing and managing the workflow of all repair tasks within the store. This role involves receiving customer repairs and collaborating with skilled watchmakers to assess each timepiece, ensuring they are directed to the appropriate service channels. The Coordinator will supervise the entire repair process, offering timely updates to customers, manufacturers, sales associates, and management. Additionally, the role includes the organization of invoice reconciliation reports as necessary.

Key Responsibilities:

  • Facilitate the accurate intake of customer repairs for both watches and jewelry.
  • Ensure prompt delivery of customer repairs and collection of payments.
  • Conduct follow-ups with customers post-service to gauge satisfaction.
  • Manage daily processing of all incoming customer repairs.
  • Track and coordinate both in-store and external Rolex services.
  • Provide updates and confirmations regarding Rolex service statuses to customers.
  • Prepare and communicate pending job estimates to customers.
  • Complete monthly Rolex Service Data Reporting through WRS.
  • Handle invoice reconciliation for all services and parts.
  • Create detailed service estimates and invoices for repairs processed.
  • Inform associates and customers about any backordered parts or service delays.
  • Manage multiple email communications effectively.
  • Update sales associates, watchmakers, and management on pending services.
  • Compile and analyze month-end reports as required.
  • Maintain a thorough understanding of job flow and turnaround expectations.
  • Ensure compliance with SDS regulations.
  • Organize and maintain both physical and digital filing systems.
  • Perform additional administrative tasks as assigned by management.
Qualifications:
  • Strong verbal, written, and interpersonal communication skills.
  • Able to thrive in a fast-paced, customer-oriented environment.
  • Capable of maintaining composure and resolving conflicts under pressure.
  • Detail-oriented with a strong aptitude for data analysis.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
  • High School Diploma or equivalent.
