Position Overview

Work Schedule: 8 a.m.-5 p.m. (Mon/Wed/Thurs); 8 a.m.-5:45 p.m. (Tues) & 8 a.m.-2:30 p.m. (Fri); Availability for at least one Saturday per month from 8 a.m.-12 p.m.

Key Responsibilities:

  • Assist healthcare providers with patient care, ensuring smooth patient flow and performing necessary clerical tasks.
  • Welcome patients and their families, efficiently managing appointment scheduling and testing.
  • Handle patient payments, provide account balances, and issue receipts while ensuring accurate posting to accounts.
  • Respond promptly to phone inquiries, addressing caller needs effectively and taking accurate messages when necessary.
  • Facilitate referrals and consult orders in a timely manner.
  • Schedule and input diagnostic tests and procedures into the order management system, adhering to established workflows.
  • Collect and verify patient information, including demographics, insurance details, and required forms.
  • Prepare examination rooms, escort patients, and maintain cleanliness post-examination.
  • Ensure proper preparation for patient visits by gathering relevant information.
  • Accurately schedule appointments in accordance with departmental protocols.
  • Collect lab specimens following departmental guidelines, ensuring proper labeling.
  • Complete necessary documentation for patients accurately.
  • Measure and record vital signs, including blood pressure, temperature, pulse, height, and weight, documenting in the electronic health record (EHR).
  • Collaborate with clinical staff to ensure timely pre-authorizations.
  • Review and reconcile medication lists appropriately.
  • Document allergies accurately in the EHR.
  • Reconcile daily encounters according to policy guidelines.
  • Utilize task management systems effectively and in a timely manner.
  • Confirm future appointments as necessary and manage cancellation lists.
  • Communicate effectively with supervisory staff.
  • Maintain an organized supply closet and dispose of outdated medications responsibly.
  • Ensure consistent stocking of examination rooms with necessary supplies, monitoring inventory and directing requisitions as needed.

General Duties:

  • Demonstrate understanding of medical emergency procedures.
  • Adhere to all regulatory policies, procedures, and standards.
  • Operate within the defined scope of practice.
  • Perform additional duties as required, such as EKG and phlebotomy.

Physical Requirements:

  • Ability to push and pull objects, considering weight and frequency.
  • Physical strength to lift heavy items as needed.
  • Mobility to move throughout the workplace efficiently.
  • Agility to maneuver in various positions.
  • Dexterity in hands and fingers, maintaining balance during tasks.
  • Endurance for continuous typing, standing, and walking.

Environmental Considerations:

  • Exposure to chemicals, including chemotherapy agents.
  • Potential for loud noises and vibrations.
  • Work in extreme temperatures and confined spaces.
  • Allergen exposure, including dust and mold.
  • Risk of exposure to magnetic fields and radiation.
  • Handling of sharps and latex materials.

Infection Control:

  • Potential exposure to infectious materials, including blood and body fluids.
  • Contact with patients or specimens may occur.
  • Risk of unplanned exposure to hazards.

Qualifications:

  • High School Diploma or GED required; Bachelor's or Associate Degree preferred.
  • Medical Assistant Certification is mandatory; candidates must obtain certification within a specified timeframe if not already certified.
  • Prior experience in medical assisting or patient services is preferred.
