Position Overview:
The Front Office Support Specialist plays a crucial role as one of the initial points of contact for our patients. This position is vital in advocating for patients and delivering outstanding customer service. The individual in this role will manage patient check-ins and check-outs while providing essential administrative assistance.
Key Responsibilities:
- Engage with patients warmly and accurately document their information during the check-in, check-out, and appointment scheduling processes.
- Utilize computer systems to input new patient data, print necessary forms, and ensure all contact information is current and correct.
- Handle incoming calls, take precise messages, and direct them to the appropriate personnel.
- Communicate effectively about ChenMed's clinical staff and services to patients and other stakeholders.
- Verify patient insurance details and collect copayments as required, assisting with follow-up and specialist referral appointments as needed.
- Accompany patients to examination rooms, ensuring their comfort and readiness for their appointments.
- Champion HEDIS initiatives by maintaining visibility of required metrics for scheduled patients.
- Distribute customer service surveys at checkout and escalate issues for immediate resolution when necessary.
- Participate in daily and weekly team meetings to discuss patient updates.
Additional Duties:
- Safeguard the confidentiality of patient information and medical records.
- Review patient records for accuracy and completeness.
- Facilitate correspondence through various communication methods.
- Perform other tasks as assigned by management.
Qualifications:
- Exceptional customer service abilities and a genuine passion for helping others.
- Familiarity with ChenMed's medical offerings, policies, and procedures.
- Proficient in operating telecommunication devices, computers, and basic software applications.
- Ability to communicate professionally and courteously with patients and team members.
- Attention to detail to ensure the accuracy of information and reports.
- Strong verbal and written communication skills.
- Demonstrated active listening capabilities.
- Positive demeanor and professional attitude.
- Proficient in Microsoft Office Suite, including Excel, Word, and Outlook.
- Willingness to travel locally and regionally as needed.
- Fluency in English, both spoken and written.
Education and Experience:
- High school diploma or equivalent required.
- Preferred completion of a nationally accredited Medical Assistant program.
- A minimum of one year of experience in a medical office or similar setting is required.
- BLS certification for Healthcare Providers is preferred.
