The Office of the Senior Associate Dean of Research at Stanford University’s School of Medicine is in search of a Senior Research Financial Administrator who is dedicated to delivering exceptional service to stakeholders throughout the School of Medicine.

The selected candidate will oversee intricate and substantial portfolios, which will encompass proposal development, post-award management, budget formulation, cost evaluation, forecasting, variance analysis, labor distribution oversight, and comprehensive reporting.

This role is part of the accounting and finance team within the SADR and will report directly to the Assistant Director of Finance.

Key Responsibilities:

  • Collaborate with principal investigators in the formulation of the administrative components of proposals, ensuring adherence to sponsored and non-sponsored research guidelines. Manage and communicate the submission process, both in paper and electronic formats; review documents for thoroughness and compliance.
  • Create, prepare, and finalize project budgets, providing necessary budget justifications.
  • Act as a liaison and proactive partner between principal investigators, the Office of Sponsored Research, research teams, and other departments; address sponsor inquiries effectively.
  • Work in conjunction with the Office of Sponsored Research to guarantee proper setup of awards and fulfillment of cost-sharing obligations; initiate cost transfers as needed.
  • Evaluate and authorize expenditures, advise on post-award spending and commitments, and ensure compliance with fund and revenue regulations.
  • Generate and communicate reports that support project status; develop effective forecasting and decision-making tools.
  • Engage in the contract closeout process; submit final reports and certificates, compiling necessary information and documentation for audit inquiries.
  • Understand, apply, and provide guidance on university and governmental policies related to projects.
  • Serve as a knowledgeable resource on subject matter and overall technical guidance to principal investigators and other university personnel.
  • Participate in and contribute to process enhancements. Lead collaborative projects with other staff members.
  • May serve as a mentor and provide cross-training as necessary. Additional duties may be assigned as required.

Desired Qualifications:

  • Familiarity and experience with Stanford Oracle financial systems, iLab Solutions system, and relevant policies and procedures.
  • Understanding of operations within a research medical school, including profit and loss statements, balance sheets, general and cost accounting principles, Service Center operations, federal regulations, financial reporting, budget/forecast development, and fund accounting.
  • Proficiency in grant and contract administration, managing the financial aspects of sponsored projects, and research grant management.
  • Advanced skills in Excel and experience in data analysis and financial modeling.
  • Proven ability to manage multiple projects under varying time constraints with strong organizational skills, independence, and self-motivation.
  • Excellent written and verbal communication skills, including policy documentation.
  • Strong decision-making, problem-solving, and quantitative analytical skills, particularly in financial projections, forecasting, and reporting of quantitative data.
  • Ability to collaborate effectively with individuals at various levels of authority and educational backgrounds across multiple organizations, fostering cooperation for collaborative problem-solving.

Education & Experience (Required):

  • Bachelor’s degree and three years of relevant experience, or a combination of education and experience.

Knowledge, Skills, and Abilities (Required):

  • Basic understanding of governmental regulations.
  • Ability to comprehend, interpret, and communicate policies and procedures effectively.
  • Exceptional oral, written, and communication skills.
  • Strong analytical skills; demonstrated proficiency in Excel and web-based tools.
  • Solid accounting skills; knowledge of accounting principles.
  • Capability to complete Cardinal Curriculum I and II within the first year in the role.
  • Understanding of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting.
  • Knowledge of property management requirements related to Stanford or non-Stanford titles of equipment and fabrications.
  • Competency in project management.
  • Extreme attention to detail.
  • Ability to work independently while also seeking or providing assistance when necessary.
  • Ability to review proposals or manage projects with a comprehensive understanding of the overall scope and objectives of each sponsored project.
  • Excellent time management and organizational skills.

Certifications & Licenses:

  • Completion of Cardinal Curriculum I and II is required to maintain this position.
  • Certification as an Accountant or Auditor or a similar credential is preferred.

Physical Requirements:

  • Frequently sit, perform light grasping, engage in fine manipulation, and conduct desk-based computer tasks, as well as lift, carry, push, and pull objects weighing up to ten pounds.
  • Occasionally stand, walk, engage in forceful grasping, use a telephone, write by hand, and sort and file paperwork or materials.

Working Conditions:

  • This position is based in Stanford's Research Park and offers the option of a telecommuting/hybrid schedule, subject to operational needs. The expected pay range for this position is $85,000 to $108,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable roles.
