About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Graphic Makers & Printers. As an essential member of our team, you will be responsible for supporting daily office operations, managing schedules, handling client communications, and assisting with project management.

This role is ideal for someone who is passionate about customer service and operational efficiency, with a proven track record of delivering results in a fast-paced environment.

Key Responsibilities
  • Client Support: Respond to client inquiries, answer phone calls, and direct communication to the appropriate departments.
  • Office Administration: Manage office supplies, ensuring inventory is stocked and well-maintained.
  • Scheduling: Schedule meetings and appointments for the team, ensuring timely coordination.
  • Order Fulfillment: Assist with managing client orders, from intake to delivery.
  • Reporting: Prepare reports, presentations, and marketing materials as needed.
  • Record Management: Maintain and organize company records, including both physical and digital files.
  • Invoicing: Assist with invoicing, billing, and payment processing for clients.
  • Project Support: Coordinate between departments to ensure timely project completion and customer satisfaction.
Requirements
  • Previous administrative or office experience preferred.
  • Excellent communication skills, both written and verbal.
  • Strong problem-solving skills and ability to adapt to changing needs.
  • Professional demeanor with a customer-service focus.
  • Ability to handle multiple tasks simultaneously while maintaining accuracy.
  • Discretion and Reliability: Handle sensitive information with confidentiality and professionalism.
  • Driver's License: Must have a valid driver's license and a clean driving record.
