Job Title: Residential Move Coordinator

Primary Responsibilities:

  • Manage the processing of all applications for Brookfield properties.
  • Ensure applications are handled in the order received, adhering to the Applicant Screening Criteria and complying with Fair Housing regulations.

Skills & Competencies:

  • Bachelor's degree or equivalent professional experience is required.
  • Experience in banking, real estate, property management, or related sectors is preferred.
  • Familiarity with fair housing and local real estate laws is essential.
  • Proficient in Microsoft Word, Excel, and PowerPoint; advanced skills are a plus.
  • Working knowledge of CRM systems, MRI, and other relevant software.
  • Exceptional written and verbal communication skills.
  • Strong customer service abilities in a dynamic environment.
  • Detail-oriented with the capacity to produce high-quality work under tight deadlines.
  • Ability to multitask and demonstrate advanced critical thinking and problem-solving skills.
  • Flexibility to work in a schedule-driven environment, including in-office operations, weekends, and holidays as needed.

Essential Job Functions:

  • Conduct daily follow-ups with applicants regarding missing documentation and communicate approval or denial statuses.
  • Provide accurate and complete documentation for approvals.
  • Upload necessary documents into required databases.
  • Monitor company email daily and participate in scheduled meetings.
  • Calculate gross annual income based on provided documentation and record it in the database.
  • Collaborate closely with internal and external leasing teams to ensure a superior customer service experience.
  • Adhere to Fair Housing, Fair Credit Reporting Act, and American Disabilities Act guidelines.
  • Coordinate the timely completion of applications, ensuring all required documentation is collected and reviewed.
  • Minimize data entry errors to ensure prompt processing.
  • Escalate any questionable or potentially fraudulent applications to management.
  • Update files in real-time and maintain communication with internal partners, documenting status in CRM.
  • Perform other duties as assigned by supervisors or leadership.

Key Performance Indicators (KPIs):

  • Address all applications across all markets within 24 hours.
  • Notify applicants via email and SMS regarding status updates when additional documentation is required.
  • Ensure all notes are updated in real-time.
  • Upload all documents to the lead management system.
  • Foster meaningful feedback and collaboration with local teams and centralized leaders.
  • Aim for 90% or better on weekly screening audits.
  • Maintain a procedural error rate of 3% or less.
  • Consistently achieve monthly performance goals.

Physical Requirements:

  • Ability to work extended hours, including evenings, weekends, and holidays as necessary.
  • Clear verbal communication skills to interact effectively with individuals of varying educational backgrounds.
  • Visual acuity to read faint or partially obscured writing or printing, with corrective lenses if needed.
  • Physical capability to sit, stand, stoop, kneel, push, lift, carry, and move objects weighing up to 25 lbs.
  • Ability to climb stairs as required.
  • Mental alertness and attention to detail are essential.
  • Finger dexterity for typing and using a keyboard.

Environmental Requirements:

  • Ability to manage multiple assignments simultaneously with frequent interruptions.
