Job Title: Membership Clerk

Join the Boys & Girls Clubs of St. Lucie County team as a Membership Clerk, providing essential administrative support to our Club Director/School Based Club Director and other staff members.

Job Summary

The Membership Clerk is responsible for managing membership applications, maintaining accurate records, and providing exceptional customer service to our members and visitors.

Key Responsibilities
  • Process membership applications, ensuring accuracy and completeness
  • Enter membership data into our Vision database program daily
  • Prepare and issue membership ID numbers in a timely manner
  • Monitor visitor attendance and maintain accurate records
  • Produce periodic statistical reports on membership applications, attendance, and dues
  • Collect fees and complete deposit slips
  • Answer phones promptly and professionally, providing information and taking messages as needed
  • Maintain electronic and hard copy filing systems, ensuring accuracy and accessibility
  • Check the answering machine daily and respond to or forward messages as necessary
  • Contact members with irregular attendance
  • Inform members, visitors, and parents of our program options
  • Maintain knowledge of all activities within the building and answer questions regarding Club policies and procedures
  • Stamp, sort, and distribute incoming mail; handle outgoing mail
  • Make photocopies of documents as required
  • Communicate with supervisors regarding pertinent contacts from family, school, or significant others
  • Follow policies and procedures in responding to emergencies and/or safety issues
  • Promote and participate in open and effective communication and support with the team
  • Attend and prepare for required meetings, such as staff meetings, in-service meetings, monitoring meetings, and staff training
  • Treat all clients, parents, guardians, co-workers, supervisors, and community members with respect and dignity
Requirements
  • Report to scheduled shifts consistently and on time
  • Follow policies, procedures, and rules of the organization
  • Serve as a role model, demonstrating fairness, consistency, attentiveness, and effective conflict resolution
  • Treat all club members, parents/guardians, co-workers, supervisors, and community members with respect and dignity
  • Maintain confidentiality of those we serve
  • Communicate with immediate supervisors regarding pertinent contacts from family, school, or significant others
  • Follow policies and procedures in responding to emergencies and/or safety issues
  • Promote and participate in open and effective communication and support with the team
  • Maintain high program standards
  • Ability to handle multiple phone lines effectively
  • Proven ability to manage multiple priorities, with strong organization, detail, and process management orientation
  • Working knowledge of office machines and equipment, such as fax machines and photocopiers
  • Strong proficiency with computers, database entry, and the full Microsoft Office suite, email, and internet
  • Excellent written and verbal communication skills, with above-average interpersonal skills
  • Ability to read, analyze, and interpret data and information, applying appropriate judgment
  • Passion for providing extraordinary customer service and working with people at all levels
Travel and Working Conditions

Some travel may be required for training and/or other business purposes. The work environment is fast-paced, with flexibility to work schedules required due to changing business demands. General office conditions are the standard work environment, with standing, sitting, and walking.
