Key Responsibilities:
- Provide administrative support to department heads, including preparing documents, managing calendars, and coordinating meetings
- Assist with the maintenance of accurate records and databases, ensuring seamless operation of the unit
- Handle internal and external mail, as well as manage incoming and outgoing communications
- Support the supervisor in registration processes for new and returning clients
- Contribute to the submission of billing for services provided by the CMRSS program
- Maintain accurate minutes for staff meetings and group supervisions, storing copies on shared drives
- Manage telephone calls, providing professional, thorough, and helpful responses to inquiries
- Develop and maintain an efficient filing system to meet unit needs
- Serve as liaison between units, internal agencies, and external organizations
Requirements:
- Graduation from an accredited secretarial studies program or equivalent experience
- At least two years of full-time secretarial experience, with additional training in Microsoft Office (Word, Excel)
- Ability to sit for extended periods, carry files, and bend to file; moderate physical effort (lift/carry up to 50 pounds); climb stairs to reach other UBHC departments
