Job Summary: The Grants and Contracts Fiscal Administrator is responsible for managing and overseeing the fiscal and administrative functions of various grants and contracts. This role ensures compliance with all grant and contract agreements, while working to maintain and improve internal controls, systems, processes, and protocols.
Key Responsibilities:
Fiscal Management & Compliance:
- Oversee and maintain compliance with grant and contract agreements, ensuring adherence to all applicable guidelines, including GAAP, Federal OMB, and grant/contract standards.
- Reconcile program/grant general ledgers and prepare necessary corrections to ensure proper month-end close.
- Prepare and submit fiscal reports such as FFR reports for Federal grants, Payment Management System Quarterly reports, Cost Reports, and Financial Status Reports.
- Prepare and submit contract/grant billings and Payment Management System drawdown schedules in line with agreements.
Budgeting & Financial Reporting:
- Collaborate with the Grants Team, Program Directors, and Coordinators on budget planning, grant proposals, analysis, modifications, and contract/grant matching requirements.
- Manage the preparation of journal entries for salary distribution adjustments and oversee Time and Effort reporting.
Audit Coordination & Reviews:
- Coordinate and support audits, reviews, and site visits conducted by sponsoring agencies and independent auditors, including preparing SEFA, contract, and grant-related schedules, and responding to A-133 audit requests.
- Conduct fiscal audits/reviews on grant subcontractors to ensure compliance.
Training & Development:
- Develop and present training sessions on fiscal grant reporting and compliance for the Policy Council or equivalent groups.
Process Improvement:
- Serve as an integral member of the Grants Protocol Team to enhance processes, protocols, and systems for managing the organization's grants accounting functions.
Collaboration & Communication:
- Participate in relevant meetings, reporting tasks, and projects as required.
Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- Minimum of 3-5 years of experience in grant/contract management or fiscal administration.
- Strong knowledge of GAAP, Federal OMB guidelines, and grant/contract standards.
- Proven experience with audits, budget planning, and grant proposal preparation.
- Excellent analytical, communication, and organizational skills.
- Ability to work independently and collaboratively with a diverse team.
