As a key member of our team, the Camp Registrar will serve as the primary point of contact for parent communications and camp registrations. This role is responsible for maintaining accurate records and assisting with registration for all camp families and programs. The ideal candidate will possess excellent organizational and communication skills, with the ability to work independently and as part of a team.
Responsibilities:- Collect and enter financial, assessment, and scholarship information based on the association scale and collaborate with the Director/Senior Director to meet the needs of families in extenuating circumstances.
- Support and/or directly involve in the sale of program registrations.
- Directly enter registrations for campers, sell program memberships, invoice first payments, and send confirmation receipts.
- Adjust and record scholarships related to special grants.
- Set up programs in Spirit, according to association guidelines, activating programs for registration.
- Manage setup for credits, refunds, and adjustments in the system based on changes with Association Direction.
- Help create grids and waitlists to place as many campers into camp as possible.
- Serve as a liaison between office staff, program, and site directors regarding updates/changes to the roster and participant information.
- Take steps to build committed and connected relationships with members, volunteers, and collaborative partners.
- Manage communication with Childcare Assistance Program Administration and CAPS recipients, including review of application submission, certificate processing, collection of participant attendance, filing records with CAPS, and tracking receipts.
- Serve as the primary point of contact for families regarding program registration, financial aid, cancellation information.
- Provide excellent service to members and program participants over the phone, contributing to member retention.
- Directly handle and resolve registration concerns and inform the supervisor of unusual situations or unresolved issues.
- Check and report overall attendance each morning.
- Maintain branch and association certifications in CPR and any other required certifications and/or training required by the Metro Atlanta YMCA.
- Maintain and report incident/accident paperwork.
- Achieve all required SPIRIT trainings as assigned. Apply and utilize SPIRIT according to established guidelines as assigned.
- Maintain privacy requirements by not sharing personal information about members, including phone numbers, addresses, program participation, financial information, or personal situations.
- Adhere to and implement all policies and procedures listed in the training manual and as new policies are implemented.
- Communicate in a positive manner with members, guests, program participants, and volunteers. Provide appropriate assistance as needed.
- Attend all staff meetings and trainings, as required.
