Job Overview

Position Title: Purchasing Coordinator

Role Summary: Reporting to the Assistant Vice President for Finance/Controller, the Purchasing Coordinator is responsible for overseeing and managing the company's credit card transactions through the Chrome River system. This role also encompasses procurement activities across all departments within the College. The Purchasing Coordinator is expected to foster positive collaborative relationships with students, faculty, and staff. Additionally, this position provides support to various internal office roles, including the Assistant Controller, Controller, and Vice President of Finance.

Key Responsibilities
  • Procurement Duties
    • Manage and process material requisitions and issue corresponding purchase orders.
    • Coordinate with vendors to ensure timely receipt of items and accurate data entry into the system.
    • Collaborate with the Accounts Payable Specialist to address any vendor-related discrepancies.
  • Chrome River System Administration
    • Review and submit completed expense reports.
    • Provide training and customer support for system users.
    • Monitor submissions to ensure compliance with timelines.
    • Reconcile monthly credit card statements with the General Ledger.
  • Establish and maintain positive relationships with all internal stakeholders.
  • Adhere to all relevant college, federal, state, local, and associational regulations.
  • Represent the College professionally at all times, both on and off campus.
  • Engage in significant campus events and activities.
  • Perform additional job-related tasks as assigned.
Qualifications

The ideal candidate will possess strong computer skills and a foundational understanding of office protocols.

  • Proficiency in computer applications, including Microsoft Office Suite (Word and Excel).
  • Ability to communicate effectively and professionally, both verbally and in writing.
  • Experience in delivering accurate and timely work in an organized manner with minimal supervision.
  • Strong attention to detail and proficiency in data management.
  • Knowledge of general office procedures is essential.
  • Capability to resume work efficiently amidst interruptions.
  • Willingness to engage in prolonged periods of data entry and phone communication.
