Key Responsibilities:

As a Patient Registration Specialist, you will be responsible for the following essential functions:

  • Answering phone calls and welcoming patients in a friendly and efficient manner, directing inquiries to the appropriate department.
  • Adhering to established policies and procedures to ensure consistency across all clinics.
  • Conducting patient check-ins in accordance with company protocols.
  • Tracking patient movements within the Electronic Health Record (EHR) system to prevent any missed appointments.
  • Collecting and entering pre-registration, demographic, and insurance information accurately into the Patient Management System (PM) or EHR, including handling all necessary documentation.
    • Verifying and updating patient demographic information.
    • Scanning documents into the EHR.
    • Collecting patient photographs, scanning insurance cards, and obtaining necessary signatures on forms as required.
  • Ensuring that eligible patients undergo appropriate distress screenings.
  • Collecting co-payments and managing end-of-day financial procedures, including daily deposits and petty cash reconciliation.
  • Following up on canceled, no-show, and missed appointments, ensuring proper documentation.
  • Scheduling internal patient appointments and accommodating walk-in visits as needed.
  • Providing information about the Patient Engagement Portal and assisting with the registration process, including sending invitations.
  • Generating and analyzing daily reports related to cancellations, missing information, and other metrics.
  • Exhibiting excellent customer service by responding promptly to requests from patients, physicians, and other departments.
  • Utilizing an Instant Messaging System for effective communication with team members.
  • Scanning and managing documents within the EHR.
  • Performing additional duties as assigned.
  • Being flexible to travel to other clinics as required.
  • Maintaining confidentiality of patient information at all times.
  • Complying with all Tennessee Oncology policies and procedures.
Qualifications:
  • High school diploma or equivalent (GED).
  • A minimum of 2 years of experience in a professional office environment or customer service preferred.
  • Proficient computer skills, including familiarity with Windows file management, MS Office, and email.
  • Strong verbal, listening, and written communication abilities.
  • Capacity to work effectively in a fast-paced environment.
  • Exceptional organizational skills and attention to detail.
  • Outstanding customer service capabilities.
Physical Requirements:

• Ability to travel to various clinics as necessary.

• Capability to lift up to 25 pounds.
