The Patient Care Administrative Associate (PCAA) is responsible for providing exceptional service to all patients and visitors, ensuring a welcoming and professional environment. This role involves registering patients in accordance with established protocols and procedures.
Key Responsibilities
The PCAA's responsibilities include, but are not limited to:
- Managing and coordinating patient appointments, including updates and scheduling.
- Retrieving and organizing daily patient information for appointments and inquiries.
- Maintaining the schedules of healthcare providers efficiently.
- Handling medical records, including filing, copying, and purging as necessary.
- Preparing documentation for provider signatures and managing co-pay collections.
- Performing data entry for office visit charges and handling collections of outstanding balances.
- Accurately coding encounter forms with the appropriate CPT and ICD-10 codes.
- Filing and resubmitting insurance claims as needed.
- Reconciling charge sheets and managing cash drawer operations.
- Preparing bank deposits and balancing credit card transactions.
- Reviewing and correcting discrepancies on the missing ticket report.
- Executing closing procedures to ensure accurate account balances.
- Facilitating referrals and precertifications while preparing documentation for audits.

Qualifications
Required:
- High School diploma or equivalent.
- Prior experience in data entry and database management.
- Ability to uphold patient confidentiality in compliance with HIPAA regulations.
- Strong communication skills to interact respectfully with patients and staff.
Preferred:
- Familiarity with CPT and ICD-9 coding and billing practices.
- Experience with Electronic Health Record (EHR) systems.
