Position Summary — The Senior Accounting Specialist will oversee various accounting responsibilities within the office, ensuring operational efficiency and acting as a key point of contact between staff and the Human Resources department as necessary.


As a Senior Accounting Specialist, your responsibilities will include:

  • Timely preparation of customer invoices, monitoring payments, and conducting collection calls as needed.
  • Assisting with year-end inventory processes.
  • Managing job billing and generating AIA billing documents.
  • Preparing financial statements.
  • Calculating and filing monthly sales tax and other applicable taxes.
  • Conducting month-end reconciliations and preparing year-end closing journal entries.
  • Handling bank deposits.
  • Creating new customer accounts.
  • Implementing ACH fraud prevention measures, including reviewing positive pay exceptions.
  • Managing lien waivers.
  • Performing bank reconciliations.

Additional Responsibilities may include:

  • Supporting Human Resources with new hire orientations and communicating staff-related issues to the HR Manager.
  • Assisting with year-end inventory tasks.
  • Carrying out other duties as assigned by the General Manager, Controller, or CFO.

Key Functions:

  • Accounting management.
  • Payroll processing.
  • Acting as a liaison for Human Resources.
  • Utilizing office equipment effectively.
  • Maintaining timely and professional email correspondence.
  • Upholding confidentiality standards.
  • Providing phone support as required.

Qualifications & Requirements:

  • A minimum of an Associate's Degree in Finance, Accounting, or a related field is required.
  • Successful completion of pre-employment background checks.
  • Ability to perform repetitive tasks, including standing, squatting, bending, and lifting up to 20 lbs.
  • Proficiency in basic computer skills, including Microsoft Office Suite.
  • Prior experience in accounting is essential.
  • Familiarity with office equipment such as printers, copiers, and fax machines.
