POSITION OVERVIEW


At Banyan Living, we are in search of a Property Leasing Specialist dedicated to assisting potential residents in discovering their perfect living space.

In this role, you will oversee leasing activities, marketing efforts, and foster positive relationships with residents in our multi-family housing community.

Reporting directly to the Property Manager, your contributions will be essential in driving the success and financial viability of our property.

LEASING - SALES

  • Welcome potential residents and assess their needs by addressing all relevant criteria, asking insightful questions, and utilizing completed guest cards.
  • Accurately document all phone and in-person interactions in our leasing database.
  • Organize and maintain guest cards in accordance with established protocols.
  • Conduct inspections of model and available units to ensure they are ready for the market and communicate any service requirements to the Property Manager.
  • Showcase the community and available apartments, applying your product knowledge to align with client needs and effectively secure leases.
  • Assist prospective residents in completing applications and processing deposits in line with company policies and Fair Housing regulations.
  • Update availability reports and process applications for approval, including credit checks and rental history assessments.
  • Ensure apartments are prepared for occupancy as per the lease agreement.
  • Follow up with prospects who did not finalize their lease and attempt to re-engage them. Refer them to sister properties if their needs cannot be met.
  • Secure new residents' signatures on necessary documentation prior to their move-in date.
  • Introduce new residents to the community and assist in tracking lease renewals.
  • Monitor the effectiveness of advertising efforts and gather insights on market competition.
  • Always represent Banyan Living with professionalism.

ADMINISTRATIVE TASKS

  • Accept rental payments and ensure they are delivered promptly to the Assistant Community Coordinator.
  • Prepare leases and complete necessary paperwork accurately and timely, reviewing with the Community Manager before obtaining signatures.
  • Maintain up-to-date resident files and document daily inspections of the community.
  • Distribute all company or community-related notices.
  • Keep precise monthly commission records for leases and renewals for bonus calculations.
  • Support the management team with various tasks as needed.
  • Consistently adhere to community policies.

RESIDENT ENGAGEMENT

  • Respond to all phone calls and in-person visits, addressing resident inquiries, concerns, and feedback.
  • Process maintenance service requests promptly and communicate with the maintenance team. Answer residents' questions regarding the community, repairs, rent, rules, etc.
  • Ensure that all maintenance tasks are completed satisfactorily by following up with residents on service requests.
  • Maintain open lines of communication with the Property Manager and Maintenance Supervisor.
  • Contribute to the cleanliness and visual appeal of the community consistently.
  • Assist in organizing resident events and participate in hosting activities as directed by the Community Manager.

MARKETING INITIATIVES

  • Engage in outreach marketing activities regularly to attract potential residents.
  • Inform residents about referral incentives if applicable.
  • Aid in the placement, removal, and updating of banners, balloons, signs, and other promotional materials.
  • Distribute newsletters, brochures, and flyers.
  • Conduct market research and monitor competitive properties.

QUALIFICATIONS
As a Property Leasing Specialist at Banyan Living, we expect the following:

  • Fair Housing Certification or willingness to obtain prior to engaging with prospective residents.
  • Strong verbal and written communication skills.
  • Proficient in computer usage, including Microsoft Office applications and community management software.
  • Positive demeanor and a commitment to delivering exceptional customer service.
  • Flexibility to work varied hours, including evenings and weekends.
  • Previous experience in customer service or sales is preferred.
  • Professional appearance and demeanor.
  • Adherence to Banyan Living's employee handbook and guidelines.
