BACKGROUND:

Jefferson Solutions, the consulting arm of Jefferson Consulting Group, is seeking a highly skilled individual to fill the role of Operations Program Assistant in support of the United States Agency for International Development (USAID) Africa Bureau.

The Operations Program Assistant will report directly to the Senior Program Manager and collaborate closely with the Deputy Program Manager and Financial Analyst to deliver comprehensive operational, recruitment, office management, and travel assistance.

This role encompasses a variety of complex and routine operational and analytical tasks aimed at supporting the contract effectively.

Key responsibilities include managing the Africa Bureau Satellite Office and the reservation process, scheduling briefings and meetings, coordinating travel arrangements, maintaining program documentation, managing meeting agendas and minutes, and collecting, compiling, and analyzing data for various program reports. The role also involves designing and maintaining spreadsheets and tracking systems, as well as developing essential documents for both internal and external reporting and coordination.


DUTIES AND RESPONSIBILITIES:

Responsibilities include but are not limited to:

  • Overseeing the management of the AFR Satellite office space and ensuring efficient team usage, including daily maintenance, inventory management, troubleshooting, and vendor coordination.
  • Facilitating effective data collection on the office's daily operations, including the creation of analytical reports for client deliverables.
  • Enhancing and refining the reservation system and protocols for the AFR Satellite Office.
  • Assisting in the planning and logistics of events at both the RISSA Office and offsite locations.
  • Liaising with building management to resolve issues and ensure effective communication and management.
  • Ensuring compliance with building regulations and optimal use of building amenities.
  • Proactively managing daily tasks and responsibilities, maintaining regular communication with the Key Personnel Team.
  • Participating in regular and ad-hoc meetings with clients and team members; preparing agendas, documenting meeting minutes, and managing action items.
  • Collaborating with the Key Personnel team and subcontractors to ensure the timely delivery of resources and outputs.
  • Maintaining regular communication with RISSA team members to process monthly reports and track performance indicators.
  • Supporting RISSA resource requests and assisting in the recruitment and onboarding of new team members.

Required Skills and Qualifications:
  • Bachelor's Degree with a minimum of two years of relevant experience.
  • Ability to obtain a SECRET clearance.
  • Professional demeanor and positive attitude.
  • Strong oral, interpersonal, and written communication skills.
  • Demonstrated initiative and ability to work collaboratively in a team environment.
  • Capability to manage multiple tasks and projects concurrently.
  • Excellent anticipatory skills and proactive work approach.
  • Strong organizational skills and attention to detail to meet deadlines.
  • Proficient in Microsoft and Google suites, with advanced Excel skills.
  • Analytical skills with the ability to present data effectively in reports.
  • Interest in international development program implementation.
  • Motivation to develop program management skills and grow professionally.
