GENERAL PURPOSE OF THE POSITION

The Trust Operations Specialist is responsible for processing and reconciling intricate transactions within designated system applications while executing essential administrative tasks to support the department. This role serves as a primary contact for addressing complex research inquiries and providing workflow direction.

KEY RESPONSIBILITIES:

  • Assist Trust Department Officers with daily administrative and clerical tasks.
  • Accurately input data to establish client electronic files.
  • Support the opening, closing, and maintenance of accounts.
  • Review documentation to ensure completeness, accuracy, and appropriate authorizations.
  • Coordinate and monitor financial transactions, including receipts, disbursements, account activities, and wire transfers.
  • Prepare and distribute Trust checks.
  • Conduct data entry and reconcile transactions across various Trust processing systems to facilitate wires, ACH, deposit accounts, and general ledger operations.
  • Deliver high-quality support to Trust Officers and clients.
  • Examine and summarize Trust/Estate documents for record-keeping, and prepare necessary paperwork for annual accountings and inventories.
  • Respond to inquiries from both internal and external customers.
  • Assist with federal and state tax submissions.
  • Provide general departmental support, including photocopying, scanning, faxing, and filing.
  • Ensure excellent customer service by answering calls and welcoming Trust clients.
  • Manage incoming and outgoing mail, including postage and sorting.
  • Engage in ongoing education and training related to fiduciary responsibilities, Trust administration, and investment services.
  • Document minutes for the Trust Investment Committee (TIC) and Trust Administrative Committee (TAC).
  • Maintain electronic records of TIC and TAC agendas and minutes.
  • Research legal matters pertaining to trusts, estates, and retirement plans.
  • Comply with all internal and external regulatory standards, guidelines, policies, and procedures.
  • Perform any additional duties necessary to achieve departmental and organizational objectives.

SUPERVISORY RESPONSIBILITIES:

This position does not include supervisory responsibilities; however, the associate may assist in training new hires and less experienced staff.

MINIMUM REQUIRED EDUCATION, EXPERIENCE & SKILLS:

  • Associate degree required; a degree in Business, Finance, or Accounting is preferred, or equivalent work experience.
  • At least 2 years of experience in banking or a related field is strongly preferred.
  • Prior experience as a paralegal is a plus.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Exceptional customer service and communication skills.
  • Strong organizational and time management abilities.
  • Capability to prioritize and manage multiple tasks effectively.
  • Meticulous attention to detail.

ESSENTIAL MENTAL & PHYSICAL REQUIREMENTS:

  • Ability to work on-site with a standard schedule of 40 hours per week, Monday through Friday, with occasional overtime.
  • Willingness to travel if necessary to fulfill job functions.
  • Ability to perform under pressure and meet deadlines.
  • Proficient in operating relevant equipment to execute essential job functions.
  • Ability to read and interpret documents as required for job functions.
  • Capability to lift/move/carry approximately 15 pounds if necessary for job functions.
