Position: Mail Operations and Fulfillment Specialist

Status: Full-Time/Hourly/Non-Exempt

Department: Mail & Fulfillment

Role Summary:

The Mail Operations and Fulfillment Specialist plays a crucial role in ensuring the effective execution of all mailing tasks for both internal and external clients, while also managing the workflow within the production area. This position supervises the activities of the Mail & Fulfillment team.

Reporting Structure: This role reports directly to the Mail & Fulfillment Manager.

Key Responsibilities:

  • Guarantee successful outcomes for all client projects.
  • Provide training to Mail staff on established production protocols.
  • Assist in operating production machinery, printers, and equipment while overseeing project workflows.
  • Deliver precise and timely documentation for billing related to participant timesheets for each completed mail/fulfillment task.
  • Submit necessary documentation for all mail/print projects to the Mail & Fulfillment Manager by established deadlines.
  • Conduct regular quality assurance checks throughout the production process to ensure compliance with customer specifications.
  • Engage in professional development opportunities related to USPS, Adobe products, and other relevant software/services.
  • Oversee maintenance and upkeep of machinery within the mail department.
  • Perform additional duties as assigned.

Required Skills and Qualifications:

  • Strong verbal and written communication abilities.
  • Excellent organizational skills with a keen attention to detail.
  • Problem-solving aptitude.
  • Prior experience in a supervisory role is preferred.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with physical printer operations is advantageous.
  • Understanding of USPS mailing regulations is beneficial.
  • Experience with graphic design or editing software is a plus.

Education and Experience:

  • A high school diploma is required.

Physical Requirements:

  • Ability to alternate between prolonged periods of sitting at a desk and working on a computer.
  • Must be capable of lifting up to 25 pounds as needed.
