Job OverviewWe are seeking a detail-oriented and proactive Purchasing Specialist to join our team. The ideal candidate will be responsible for issuing project purchase orders, maintaining strong vendor relationships, negotiating payment terms and warranties, and ensuring the accuracy of deliveries and vendor invoices.
Key Responsibilities- Purchasing: Issue and manage purchase orders for various projects, ensuring timely and accurate placement.
- Track and Monitor: Track and monitor the status of purchase orders, providing updates as needed.
- Collaborate with Project Managers: Collaborate with project managers to align purchasing activities with project timelines and budgets.
- Develop and Maintain Relationships: Develop and maintain positive relationships with vendors, fostering effective communication and collaboration.
- Evaluate and Select Vendors: Evaluate and select vendors based on quality, cost, and delivery performance.
- Ensure Compliance: Ensure that all vendors comply with company policies, legal requirements, and contractual agreements.
- Negotiate Terms: Negotiate vendor payment terms, pricing, and warranty agreements to achieve optimal terms for the organization.
- Review and Analyze Contracts: Review and analyze vendor contracts and agreements to ensure favorable terms and conditions.
- Monitor Deliveries: Monitor and verify the accuracy of deliveries against purchase orders and project requirements.
- Review Invoices: Review vendor invoices for accuracy and ensure they align with purchase orders and delivery receipts.
- Resolve Discrepancies: Resolve discrepancies and issues with vendors in a timely manner.
- Maintain Records: Maintain accurate records of purchase orders, vendor agreements, and other procurement-related documentation.
- Prepare Reports: Prepare and present reports on purchasing activities, vendor performance, and budgetary impacts.
- Identify Opportunities: Identify opportunities for process improvements in procurement and supply chain management.
- Stay Current: Stay current with industry trends, market conditions, and best practices to enhance procurement strategies.
- Education: Bachelor's degree in Business Administration, Supply Chain Management, or a related field (or equivalent work experience).
- Experience: Proven experience as a Purchasing Agent, Procurement Specialist, or similar role.
- Skills: Strong negotiation and communication skills, proficiency in procurement software and Microsoft Office Suite, excellent organizational and multitasking abilities, detail-oriented with a focus on accuracy and compliance, and ability to work effectively both independently and as part of a team.
