ROLE OVERVIEW:

The Tax Preparation Team Leader will oversee a group of Tax Preparation Analysts and Case Managers within the tax preparation division. This pivotal role involves providing administrative support to Tax Preparers by coordinating and managing team activities to meet key performance indicators (KPIs). The perfect candidate will have a background in tax preparation for both individuals and businesses, experience in team leadership, and possess exceptional communication and time management skills, inspiring others to excel.

KEY RESPONSIBILITIES:
  • Supervise a team of Tax Preparation Analysts tasked with reviewing client cases and determining necessary documentation for tax preparation, as well as requesting documents through the client portal.
  • Guide a team of Tax Preparation Case Managers responsible for following up with clients to ensure all required documents are collected for filing tax returns for all outstanding years.
  • Utilize dashboards and reports to monitor the team's workflow, ensuring timely client contact and progression of cases to Tax Preparers in accordance with company standards.
  • Evaluate team performance and KPIs, including client satisfaction rates, daily communication time, contact attempts, and document collection rates.
  • Provide ongoing support and training to enhance team skills and improve client satisfaction.
  • Address escalated client inquiries with empathy and collaboration to resolve issues and maintain client satisfaction.
  • Ensure all team members complete their daily responsibilities, appointments, and urgent tasks before the end of the workday.
  • Communicate updates on procedures and protocols, conduct necessary training, and follow up to ensure compliance.
  • Report attendance and performance issues to the Performance Manager for timely resolution.
  • Collaborate with other departments to ensure client needs are met and that we deliver the highest level of customer service.
  • Identify training needs and provide coaching and support to team members as required.
  • Continuously seek areas for improvement within the department and propose solutions to management to enhance efficiency and effectiveness.
  • Maintain accurate records in the CRM, updating notes and case statuses according to company protocols.
  • Perform other essential functions as assigned.
QUALIFICATIONS:
  • Minimum of 2 years in a leadership or supervisory capacity.
  • Experience in preparing various tax forms including 1040s, 1065s, 1120, 1120s, 1041s, 941s, amended returns, and state returns.
  • Familiarity with Schedules A, B, C, D, and E preparation and their specific nuances.
  • Demonstrated success in leading a team of customer service representatives.
  • Experience in a client-facing role within financial services, consumer lending, tax relief, or a closely related field.
  • Able to manage competing priorities in a dynamic work environment.
  • Strong written and verbal communication skills.
  • Proven track record of delivering exceptional customer service.
  • Self-driven and proactive in taking initiative.
  • Ability to make informed decisions based on client impact and business requirements.
  • Effective and professional interaction with employees at all organizational levels.
  • Proficient in CRM or other case management software.
  • Familiar with cloud-based automated phone systems.
  • Skilled in Microsoft Office Suite, Excel, Google Gmail, Calendly, and internal communication tools.
