Job Overview
KEY RESPONSIBILITIES
- Oversee the complete submission process from initial strategy meetings to the delivery of proposals and Statements of Qualifications (SOQs), ensuring the extraction of key messages from existing materials to effectively respond to requests; develop engaging presentations of materials, including formatting and maintaining checklists to guarantee quality and adherence to client specifications.
- Lead a team of 2-3 marketing professionals, providing guidance and support, assigning tasks, monitoring performance, conducting annual evaluations, and fostering team cohesion.
- Work closely with technical managers to assess go/no-go decisions; analyze Requests for Proposals (RFPs) and Requests for Qualifications (RFQs) to formulate submission strategies and themes, making informed process and content decisions in line with the organization's Quality and Risk Management protocols.
- Manage logistical aspects, including proposal timelines, RFP/RFQ requirements, compliance matrices, team meetings, style guidelines, and final checks, including printing and binding.
- Draft, compile, and refine the technical sections of proposals or SOQ materials for clarity, completeness, and readability.
- Adhere to federal, state, and local laws, regulations, and guidelines regarding procurement activities, including the completion of standardized forms and collaboration with special status businesses as partners.
- Ensure proposals align with budgetary constraints, cost tracking, pricing strategies, and other organizational policies, as well as client RFP/RFQ requirements.
- Collaborate with management to conduct formal proposal closeouts, including internal debriefings and discussions with prospective clients.
- Maintain alignment with corporate marketing collateral management systems and support the enhancement of the corporate marketing library by ensuring project descriptions are completed, updated, and submitted regularly.
- Guarantee that all materials adhere to company branding, formatting, and presentation standards.
- Create, edit, and produce regional project descriptions, ranging from concise summaries to detailed reports on complex, long-term projects.
- Coordinate the collection, updating, customization, and submission of resumes for storage on the company’s intranet.
- Assist in the formulation and execution of a regional strategic plan.
- Provide recommendations for and assist in the development of regional and branch external communications, including client-directed messages.
- Undertake special projects and related tasks as required.
Qualifications and Experience
EDUCATION AND EXPERIENCE
- Bachelor's degree in marketing, communications, journalism, public relations, or a related field, along with a minimum of 10 years of progressive experience in engineering, architecture, commercial construction, or marketing firms specializing in professional services marketing; or an equivalent combination of education, experience, and training that equips the candidate with the necessary knowledge, skills, and abilities to fulfill the responsibilities of the role. - Demonstrated experience in leading and managing proposal teams. (required)
- Proficiency in graphic design, production, desktop publishing, and presentation software. (required)
- Understanding of the RFQ/RFP process, evaluation techniques for promotional activities, and federal, state, and local procurement procedures, along with experience in developing and assessing marketing plans and their effectiveness. (required)
- Ability to review marketing materials and correspondence that are well-organized, clearly presented, and focused on advancing the company’s brand. (required)
- Capability to create effective presentations and respond to inquiries from both internal and external clients; adept at presenting information and addressing questions from groups of managers, clients, customers, and the public. (required)
- Proficient in writing in a marketing and/or journalistic style, with strong critical and analytical thinking skills regarding document purpose and content improvement. (required)
- Familiarity with technical writing standards. (preferred)
- Proficient in Microsoft Windows, including MS Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and Creative Suite products, with strong typing skills. (required)
- Ability to multitask, prioritize, and manage workflow effectively. (required)
