POSITION SUMMARY

Under close supervision, the Administrative Assistant I carries out a range of clerical and administrative tasks. This role involves managing a significant volume of incoming phone inquiries, assisting the public and legal representatives at the service counter with filing legal documents. The position also includes processing court payments and entering relevant data into the system. The standard work schedule is Monday to Friday from 8:00 AM to 4:30 PM, including a one-hour lunch break. The total weekly hours amount to 37.5, with a competitive starting salary.

KEY RESPONSIBILITIES
  • Execute various general office support tasks;
  • Handle a high volume of telephone calls, addressing inquiries or directing calls to the appropriate personnel;
  • Input necessary data into the system to accurately establish numerous new legal cases and communicate essential information for service of process;
  • Manage substantial paperwork from correctional facilities and probation departments;
  • Prepare documentation for submission to correctional facilities and probation departments;

  • Issue legal summons and subpoenas upon request;
  • Review all documents for precision;
  • Receive legal filings from attorneys;
  • Engage with the public, legal representatives, and judges while conducting data research and providing requested information;
  • Accept and process payments for court fees, accurately recording transactions in the appropriate system;
  • Handle large sums of money with precision; and
  • Perform additional assigned tasks as needed.
MINIMUM QUALIFICATIONS

  • High School Diploma;
  • Willingness to participate in ongoing office training programs; and
  • Valid driver's license.
SKILLS AND ABILITIES
  • Understanding of the principles and methods utilized in office operations.
  • Proficient in the use of office equipment, including copiers and multi-line phone systems.
  • Experienced in using computers for data entry, document processing, and accounting tasks.
  • Ability to organize tasks and communicate effectively.
  • Maintain a professional demeanor with a strong focus on customer service.
  • Collaborate effectively with colleagues as part of a team.
PHYSICAL REQUIREMENTS

This position frequently requires the employee to sit, reach, and manipulate objects, tools, and controls. Mobility is essential, and duties may involve moving materials weighing up to 20 pounds regularly. Manual dexterity and coordination are necessary for over 50% of the work period while operating equipment such as computers and calculators. The role demands hearing, mental acuity, verbal communication, and visual acuity.

WORK ENVIRONMENT

The majority of work is conducted in a well-lit, modern office environment with climate control.
