Job Summary

The Rehabilitation Service's secretary is responsible for the day-to-day operation of all clerical activities at the Rehabilitation Services. This role ensures the quality of services rendered is acceptable. Key responsibilities include receiving patients, answering phones, scheduling patients, processing registration records, confirming orders, documents, and insurance verification and authorization.

Key Responsibilities

  • Interview patients in a friendly, professional manner while obtaining accurate demographic information needed to complete the registration process and expedite payment.
  • Post all incoming monies. Post and deposit all Credit Card payments. Correct invalid numbers daily.
  • Scan in all associated information that pertains to a patient's encounter for payment, follow-up, and auditing purposes.
  • Essential Functions:
    • Greet patients and gather required personal, demographic, and insurance information from patients, guardians, and physicians.
    • Review physicians' orders and contact offices for clarification as needed.
    • Coordinate with Health Information Management (HIM) to process all requests for patient records.
    • Assist physicians, medical staff, and rehabilitation staff in the retrieval of reports.
    • Observe waiting room turnover and update patients and their families on reason for delays and keep the therapists aware of extended wait times.
    • Maintain supplies and inventory as necessary.
    • Answer telephone and ensure proper preparation for patient exams.
    • Maintain patient confidentiality and treat patients and families with dignity and respect.
    • Perform other related duties as assigned.
Requirements

  • High School diploma or equivalent is required.
  • Junior College/Technical school is preferred.
  • CPR certification is required.
  • Basic Understanding of Medical Terminology is required.
  • Must have the ability to type 45 words per minute.


The incumbent must be a high school graduate or the equivalent, with up to one year of hospital secretarial experience within the last 5 years. Must be proficient in using the keyboard of a personal computer in a Windows network environment. The incumbent must demonstrate a thorough understanding of healthcare insurance and government regulations.

Must have a positive experience and have demonstrated the ability to effectively work with the public.

Must have the ability to secure information and make arrangements in difficult situations. Proven ability and willingness to work with and assist patients, coworkers, physicians, and the general public. Willing to take initiative, inquisitive, courteous, and respectful. Availability to work hours needed to support the department. Must be well-groomed.

The incumbent must demonstrate a thorough understanding of health care insurance and government regulations, and also have a demonstrated ability to effectively work with the public. Filing/scanning and clerical work experience required. The incumbent will obtain and open all incoming mail and forward to the appropriate area.
