The Community Engagement Programs Manager will oversee the organization and execution of various public initiatives, including educational outreach, special events, and member-focused activities.
This role reports directly to the Director of Public Programs and collaborates closely with the Creative Producer and Senior Manager of Public Programs, as well as the Senior Manager of School Programs and the Manager of the R&D Store, to support the mission and strategic objectives of the Mass Museum of Contemporary Art.
The Manager will efficiently gather insights from Public Programs staff during departmental meetings to develop and manage logistics and tasks essential for meeting production schedules. Strong time management skills are crucial for balancing immediate responsibilities with long-term projects, as well as for following up with relevant managers and staff to compile necessary information for public program producers on a seasonal basis.
Key Responsibilities:
- Public Programs Coordination: Maintain the internal calendar for public programs, ensuring all logistical and administrative requirements are met. Serve as the primary contact for coordinating group visits.
- Assist in drafting program descriptions for review by Public Programs producers and Communications departments prior to dissemination.
- Work collaboratively with various departments to ensure all scheduled programs are coordinated, including space reservations and technical requirements.
- Facilitate all-staff tours of new exhibitions and prepare promotional materials for all programs.
- Manage evaluation processes, maintaining records and planning assessments for future programs.
- Oversee special projects and events as needed, including exhibitions and volunteer coordination.
- Maintain communication schedules for the Community Action Network and internal staff.
- Participate in mandatory departmental meetings and training sessions.
- Act as a guide for exhibitions when required.
- Complete all other administrative duties related to Public Programs in a timely manner.
Administrative Duties:
- Assist in creating training materials for new exhibitions and manage resource folders for staff.
- Coordinate training schedules and shifts for public programs staff and volunteers.
- Manage tour schedules for various group visits, collaborating closely with Visitor Experience and Box Office teams.
- Prepare group tour schedules for distribution to relevant staff.
- Order supplies and oversee the maintenance of designated spaces.
- Coordinate the promotion and evaluation of educational programs for teaching artists and participants.
- Manage artist schedules, travel arrangements, and accommodations.
- Assist with grant administration, ensuring compliance and reporting requirements are met.
- Track expenses and prepare documentation for financial oversight.
- Handle contracts and payments for external consultants and temporary hires.
- Respond professionally to inquiries from patrons and other departments.
- Maintain accurate records of constituents, including personal and donation information.
- Provide exceptional customer service to all museum visitors.
- Continuously improve internal systems for departmental efficiency.
- Adapt administrative tasks in response to artist needs or schedule changes.
Work Environment:
- This position requires flexibility in scheduling, including availability for weekends, holidays, and after-hours events.
- Most work will be conducted indoors, though some events may require outdoor work in varying weather conditions.
Qualifications:
- Proficiency in Google Suite is essential; familiarity with Mac OS, Tessitura, and web-based design applications is advantageous.
- Experience working with diverse populations and a commitment to diversity, equity, access, and inclusion is required.
- Strong note-taking, typing, and organizational skills are necessary.
- Excellent attention to detail and the ability to maintain confidentiality are crucial.
- An outgoing personality with enthusiasm for engaging with visitors and colleagues is preferred.

Educational Background:
This is a full-time entry-level position. The ideal candidate will possess a Bachelor's degree or equivalent experience in education, art administration, art history, or the performing arts, along with at least one year of relevant administrative experience. This position is part of the bargaining unit for UAW Local 2110 and is classified as non-exempt, with a minimum starting rate of $20.00 per hour.
