Job Summary

We are seeking a highly skilled and compassionate Client Service Representative to join our team at United Veterinary Care. As a key member of our hospital team, you will be responsible for delivering exceptional customer service to pet owners, ensuring a positive and welcoming experience for all clients.

Key Responsibilities
  • Provide exceptional customer service to pet owners, responding to their needs and concerns in a timely and professional manner.
  • Schedule and confirm appointments, maintain accurate records, and provide estimates and invoices for payment.
  • Respond with compassion and empathy in stressful and emotional situations, ensuring the well-being of both clients and their pets.
  • Maintain a clean, stocked, and orderly lobby and front office area, ensuring a safe and comfortable environment for clients and staff.
  • Educate clients on wellness plans, food, and products sold in the waiting room, promoting a positive and informed experience.
  • Perform opening and closing procedures, end-of-day reports, and deposits, ensuring accurate and timely financial management.
  • Data Entry: record client information, questionnaires, referral details, and other relevant data, maintaining accurate and up-to-date records.
  • Distribute mail and ensure that referral letters and lab results are sent to the corresponding veterinarians, maintaining effective communication and collaboration.
  • Admit patients, ensuring accurate and timely processing, including weighing and updating patient information.
Requirements
  • Computer experience and proficiency in front desk equipment, including email, word processing, and spreadsheet software.
  • Basic math skills to determine deposits, make change, and process payments using credit card and check terminals.
  • General understanding of veterinary terminology, situational awareness, and effective communication with clients and veterinary team members.
  • Able to phone and waiting room triage to determine the difference between an emergency and a routine office visit.
  • Excellent communication skills, with the ability to problem-solve, learn, and handle multiple tasks.
  • Enthusiastic team player with a patient and positive professional attitude.
