Key Responsibilities
  • Manage incoming phone calls, redirecting them as necessary and taking comprehensive messages for team members.
  • Welcome customers both over the phone and in person, facilitating effective communication.
  • Coordinate interactions between staff and clients to address inquiries and resolve issues.
  • Handle financial transactions, including reconciling payments with invoices and processing checks.
  • Prepare and manage daily reports, bank deposits, and cash receipts.
  • Oversee the distribution of incoming mail and manage payroll entries.
  • Assist in maintaining customer accounts and submitting necessary documentation to the accounting department.
  • Order and manage office supplies, ensuring all necessary materials are available.
  • Perform various administrative tasks, including drafting correspondence and preparing reports.
  • Maintain a clean and organized workspace, upholding professional standards.
  • Demonstrate a commitment to customer service and teamwork, fostering positive relationships with colleagues.
Qualifications
  • Minimum of 1 year experience in an administrative or office support role.
  • Basic understanding of accounting principles and familiarity with accounting software.
  • Proficient in Microsoft Office and standard office applications.
  • Strong attention to detail and accuracy in all tasks.
  • High School Diploma or equivalent; further education in administration or finance is a plus.
  • Ability to lift and carry items up to 30 pounds.
  • Valid driver's license with a clean driving record.
