POSITION OVERVIEW:

The Maintenance Operations Specialist at our Fleet Jobs branch will oversee maintenance-related customer interactions, inventory management, and administrative tasks that enhance operational efficiency, customer satisfaction, and overall profitability.

This role requires delivering exceptional customer service and effective communication with both internal and external stakeholders. The Maintenance Operations Specialist will assist the branch financial manager by providing insights and information that bolster branch performance and profitability.

PRIMARY RESPONSIBILITIES

Customer Service in Maintenance Operations

  • Manage the Service Net Planner, coordinating preventive maintenance campaigns, repairs from various service requests, and vendor management for external work.
  • Collaborate with Centralized PM Scheduling Operations and Outside RO Management teams to ensure seamless service delivery.
  • Welcome customers at the branch and provide high-quality telephone support. Address customer inquiries related to billing and service scheduling.

Inventory Management

  • Oversee inventory management at the branch to ensure timely service support while minimizing the risk of inventory discrepancies.
  • Maintain optimal stock levels by ordering parts according to established procedures, ensuring timely and defect-free deliveries from suppliers.
  • Organize and store parts in a systematic manner, ensuring timely updates to inventory systems and conducting regular cycle counts.
  • Manage battery inventory and ensure adequate tire stock is maintained according to specifications.
  • Ensure timely shipping and receipt of warranty items, and follow up on returns in collaboration with the warranty department.

Process Improvement and Analysis

  • Conduct analyses and reviews in areas such as inventory management, maintenance profitability, warranty campaigns, and service order reviews, providing recommendations for improvement.
  • Utilize systems like ServiceNet or AS400 to analyze operational dynamics for effective problem-solving and process enhancement.

Additional Duties

  • Undertake projects and tasks as assigned by the Branch Financial Manager and District Financial Manager.

REQUIREMENTS:

  • High school diploma or equivalent required; degree preferred.
  • Strong interpersonal skills with the ability to collaborate effectively with team members.
  • Proficient written and verbal communication skills.
  • Minimum of 2 years of experience in customer service and operations required.
  • Preferred experience in service and parts departments.
  • Quick learner who enjoys teamwork and continuous improvement.
  • Advanced computer skills, including proficiency in Microsoft Office Suite.
  • Regular and predictable attendance is essential for this role.
  • Willingness to travel as necessary and adhere to the required work schedule.
