This role involves managing client interactions, handling multi-line phone systems, coordinating conference room bookings, and maintaining updated employee directories. You will also support various office functions at the front desk, including scheduling and acting as a communication bridge with department heads. The Bilingual Receptionist will report directly to the Office Manager.
Key Responsibilities
- Welcome and assist guests upon their arrival
- Guide all visitors throughout the office
- Manage incoming phone calls by answering, screening, and directing them appropriately
- Maintain a neat and organized reception area, ensuring all necessary materials are available
- Provide essential information both in-person and through phone/email communications
- Handle the sorting and distribution of daily mail and deliveries
- Uphold office security by adhering to safety protocols and managing access
- Order and track front office supplies
- Update calendars and arrange meetings as required
- Bilingual proficiency in English and Spanish
- Experience with case management software is highly advantageous
- A minimum of one year of experience in a legal setting
- Proactive and resourceful in resolving issues
- Strong customer service orientation
- Familiarity with Microsoft Excel, Google Spreadsheets, and CLIO is preferred
- Availability to work weekends is necessary
- Full-time schedule from 11 am to 8 pm
