Job Summary

This role requires the ability to manage multiple tasks efficiently, prioritize cases effectively, and maintain accurate records. The successful candidate will have at least 3-4 years of experience as a Legal Assistant with a strong background in immigration law.

Key Responsibilities:
  • Provide administrative support to attorneys by transcribing, formatting, and inputting case data, scheduling hearings, preparing legal documents, and maintaining court dockets.
  • Assist in managing correspondence, reports, and legal documents, including drafting letters and documents, collecting and analyzing information, and organizing client conferences and attorney meetings.
  • Maintain attorney calendars, monitor court appearances, pleadings, and filing requirements, anticipating changes in litigation or transaction preparation.
  • Act as a representative for attorneys, communicating with clients, following up on delegated assignments, and knowing when to refer matters to attorneys.
  • Document and input attorney billable time and reimbursable expenses to generate revenues.
  • Develop and utilize filing and retrieval systems, maintain meeting transcripts, and document evidence for historical reference.
General Office Duties (Specific to New York Location):
  • Welcome visitors and guests, and prepare meeting rooms.
  • Coordinate overall small office activities.
Requirements:
  • High school diploma with 3-4 years of experience as a Legal Assistant/Secretary.
  • Strong customer service skills with the ability to communicate effectively with individuals at all levels.
  • Proficiency in written and verbal communication.
  • Advanced knowledge of Microsoft Office products.
  • Ability to manage deliveries, stock supplies, and interface with vendors.
  • Liaison with IT personnel for equipment and software/hardware issues.
  • Contact person for building maintenance personnel.
  • Ability to maintain confidentiality.
  • Advanced computer skills and proficiency in legal software.
  • Superior listening and communication skills.
  • Independent worker with a keen ability to meet deadlines.
  • Physical ability to sit, type, talk, hear, and occasionally lift or move up to 25 lbs.
What We Offer:

A competitive salary of $60,000 - $80,000 per year, depending on experience, plus benefits and opportunities for professional growth and development.
