We are seeking an Executive Support Specialist to undertake a range of administrative duties, manage busy office communications, and assist the Executive team. Success in this position requires strong organizational skills, effective time management, and the ability to work independently. Ultimately, your contributions will enhance our operational efficiency by delivering tailored and prompt support to our executive members.

Key Responsibilities

  • Serve as the primary point of contact between executives, staff, clients, and external partners
  • Ensure timely and accurate information flow
  • Coordinate calendars and arrange meetings
  • Organize travel and accommodation logistics
  • Perform data entry for various programs
  • Oversee office management, including inventory of supplies
  • Prepare and format communications for internal and external audiences – including memos, emails, presentations, and reports
  • Document meeting minutes
  • Screen and route phone calls and manage correspondence
  • Maintain an organized office filing system

Required Skills

  • Proven experience as an Administrative Assistant or in a similar capacity
  • Strong proficiency in MS Office applications
  • Exceptional organizational and time management abilities
  • Familiarity with office equipment and applications (e.g., e-calendars, copiers)
  • Excellent verbal and written communication skills
  • Ability to maintain discretion and confidentiality
  • High School diploma or equivalent

Job Type: Full-time

Compensation: $19.00 per hour

Expected Hours: 40 hours per week
