Job Description

At Network for Hope, the Improvement Administrator is responsible for providing administrative and end-user support for our electronic quality management system. This includes user setup, training, resources, and troubleshooting. The position also administers the Corrective Action and Preventive Action (CAPA) system to support organizational improvement and change management efforts.

Duties and Responsibilities:

  • Coordinate access oversight for the electronic QMS, including new user setup, proper group and permission assignments, and archiving of terminated users.
  • Orient new users to the electronic QMS improvement modules, providing functioning and usage training and resources.
  • Ensure functionality and usage of the electronic QMS improvement modules following updates and/or enhancements.
  • Assist with the development and maintenance of the electronic QMS improvement modules.
  • Troubleshoot and provide ongoing support solutions to users as assigned.
  • Develop, update, and deliver resource documents and training that facilitate best practice usage of the electronic QMS improvement modules.

CAPA:

  • Manages and supports the CAPA system, including internal accessibility, access rights, and notifications.
  • Receives and assigns CAPAs to the appropriate department leader.
  • Maintains a current index of historical and active CAPAs and supporting documents.
  • Develops and distributes communication, reports, and data to facilitate the organization in its efforts to identify incidents and associated opportunities for improvement.

Improvement:

  • Promote attendance and engagement to facilitate organization-wide training and education on improvement.
  • Ensure continuous employee access to organization-wide improvement efforts, resources, tools, and best practices.
  • Manages and supports the Improvement system, including internal accessibility, access rights, and notifications.
  • Develops and distributes communication, reports, and data to facilitate the organization in its efforts to identify incidents and associated opportunities for improvement.

Change Management:

  • Facilitate and coordinate the submission of Implementation Plans to applicable projects.
  • Provide administrative support for the organization's change management processes, including accurate and complete documentation for Implementation Plans.
  • Collect feedback from staff regarding the effectiveness of improvement activities and the impact of change on staff.
