We are seeking a highly organized and detail-oriented Fine Art Logistics Coordinator to join our team at Cadogan Tate. As a key member of our logistics department, you will be responsible for managing and supporting the development of relationships with auction houses, designers, galleries, agents, and collectors.

Key Responsibilities:
  • Manage small jobs from quote stage to billing completion, as well as large projects with supervision.
  • Work closely with the packing department and handle majority of small parcel interstate FedEx air shipments.
  • Support team, Account Managers with their day-to-day workload, including setting up client files, creating purchase orders, entering data, producing bill of lading, and generating invoices.
  • Liaise with the Dispatch and Operational departments regarding collections, deliveries, and packing requirements to ensure client expectations are met.
  • Ensure the department calls are handled in a prompt and professional manner.
  • Take care and focus attention on all administrative duties to ensure accuracy.
Requirements:
  • Bachelor's degree.
  • Thorough knowledge of the industry.
  • A minimum of 2 years experience in the fine art logistics/art fairs/auction house services.
  • Proficiency in international shipping is a bonus.
  • Sales experience is a bonus.
  • Excellent organizational and interpersonal skills.
  • Computer literacy.
  • Ability to communicate fluently in written and spoken English.
  • Professional appearance and demeanor.
  • Ability to work well under pressure, to cost and time constraints.
  • Excellent problem-solving skills, able to use intuition to resolve any issues and complaints from the client.
  • Highly organized and detail-oriented, with the ability to keep multiple projects and client engagements active at once.
  • Ability to thrive in a fast-paced, multifaceted work environment.
  • Proficient in Microsoft Office and internal computer systems – Moveware/iLive (training will be provided).
  • Excellent email etiquette and a good telephone manner that is polite and courteous at all times.
  • Demonstrates good communication skills both written & spoken.
  • Has excellent time management and organizational skills - Able to multi-task as required.
  • Team player, able to work with all levels of staff in a dynamic environment.
  • Comfortable in a results-driven workplace.
  • Data entry experience.
  • Ability to communicate fluently in written and spoken English.
