POSITION SUMMARY:


The Event Planning Specialist plays a vital role in assisting the sales team by managing essential administrative tasks that ensure smooth operations.

This pivotal position is crucial for delivering exceptional service and hospitality.

The Event Planning Specialist is tasked with supporting the sales team through various administrative responsibilities and confirming event specifics.

Moreover, the Event Planning Specialist engages in the dynamic sales process and is accountable for a segment of securing our valued social events.

YOU WILL EXCEL AS AN EVENT PLANNING SPECIALIST IF:

  • You possess a friendly demeanor and exhibit a positive attitude
  • You demonstrate sound judgment and can effectively communicate with clients, the Sales Team, and Management
  • You maintain clear and consistent communication with Operations, the Sales Team, and clients
  • You can articulate client needs to Operations and other Team Members
  • You exhibit strong organizational capabilities
  • You have excellent verbal communication skills
  • You can analyze basic data to assist Operations and the Sales Team in decision-making
  • You are proficient in reading and communicating in English
ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Go above and beyond to ensure the requirements of each Special Events Client are fulfilled, relaying all requests from the host to ensure all agreements are updated accordingly.
  • Handle requests for proposals and inquiries for social events, converting them into confirmed business.
  • Conduct site visits as necessary.
  • Ensure timely and accurate distribution of all documentation for special events, collaborating with the management team to ensure adequate staffing.
  • Provide administrative assistance to the Sales Department, including follow-ups on communications with Event Hosts after the sale is confirmed, and updating Operations on any changes to event orders or contracts.
  • Follow up on accounts receivable, gather payment details, and finalize any outstanding balances.
  • Submit payment requests and invoices as required.
  • Ensure Operations has the latest event orders for each occasion.
  • Propose additional service opportunities to Event Hosts after the sale is confirmed.
