The Maintenance Supervisor will play a critical role in ensuring the maintenance and repair of an apartment development(s) meets company and industry standards of excellence. Key Responsibilities- Unit Make-Ready Program Management: Effectively manage the unit make-ready program to company standards, which is 5 business days.
- Collaboration with Property Manager: Work collaboratively with the Property Manager to successfully complete apartment unit inspections for both move-in and move-out, including preparing estimates of damage for collection purposes.
- Cost Savings and Best Practices: Seek cost-saving opportunities and share them with colleagues.
- Technology Optimization: Embrace the company's use of technology by optimizing the use of Yardi Maintenance Mobile and Yardi's Procure to Pay to maximize savings.
- Safety and Risk Management: Follow the company's Risk Management directives to maintain a safe property environment.
- Repairs and Preventative Maintenance: Make repairs and perform preventative maintenance to company, industry standards, and building codes. Seek guidance from the Regional Maintenance Manager, Director of Project and Risk Management, or the Vice President for Capital Planning, Procurement and Energy Management before proceeding with unfamiliar measures.
- Snow Removal and Property Maintenance: Remove snow from sidewalks, entry areas, and portions of parking lots using company-approved materials, following company procedures, and maintaining a professional snow log.
- Preventative Maintenance Processes: Ensure all preventative maintenance processes are completed following manufacturers' guidance and maintain warranty, guarantee, and key physical component identification information.
- Building Plans and Common Areas: Secure and preserve a set of building plans and maintain common areas in a professional manner, inspecting the property and its grounds daily for problems and solving them immediately.
- Annual Operating Budget: Understand the property's annual operating budget and work to achieve the objectives therein.
- Proactive Management: Proactively manage to avoid surprises, maintaining the property to inspection level every day.
- Utility Consumption and Expenditures: Monitor utility consumption and related expense, working with the Property Manager to optimize the use of the NWP system and responses to utility alerts.
- Capital Planning and Budgeting: Provide meaningful input to the capital planning process, budget process, and examine expenditures for cost savings and efficiencies, sharing best practices with colleagues.
- Team Management: Ensure team members are on-boarded effectively, trained, motivated, and equipped to be successful stewards of the properties.
- Work Orders and Preventative Maintenance: Complete work orders, preventative maintenance, apartment turns, and leasing of vacant apartment units within company policy timeframes, while showing great customer service.
- Property Inspection Readiness: Ensure the property is prepared to excel at all property inspections, including agency and REAC, without the need for surges in staff and spending.
- Insurance Administration: Complete those insurance administration tasks necessary to successfully conclude insurance claims.
- Leadership and Mentorship: Serve as a role model, mentor, coach, and trusted resource to field staff and residents.
- Supportive Services: Assist with the Supportive Services program to ensure its success.
- Pennrose Academy: Support the Pennrose Academy efforts to heighten the technical expertise of staff.
- Performance Metrics: The property will successfully meet all aspects of the annual operating budget, property inspection results will be consistently excellent, unit turnover and unit occupancy times will steadily improve, tenant residency will increase, insurance claim work will be administered timely and professionally, work order and preventative maintenance completions will meet PMC standards consistently, the property will not experience insurance claims due to neglect on the part of staff, and resident satisfaction surveys will yield consistently positive results.
- Required Education and Experience: High School Diploma/GED, technical training certifications a plus, three years of increasing property maintenance responsibilities, valid driver's license, insured vehicle, and ability to travel between properties.
- Working Conditions: Ability to work periodic flexible hours, ability to travel by plane and automobile, ability to work at property locations within or near transitional neighborhoods, ability to climb stairs, take elevators, bend, squat, and reach overhead, and meet standard mobility and lifting for tasks typically associated with property maintenance.
