Job Description

We are seeking an experienced Administrative Assistant to provide general administrative support to our office staff. The ideal candidate will be highly organized, have excellent communication skills, and be able to work independently with minimal supervision.

Main Responsibilities
  • Administrative Support: Provide general administrative support to office staff, including answering phones, taking messages, and maintaining voice mail system.
  • Record-Keeping: Assist with tracking information such as insurance certificates, contracts, and other project data.
  • Facilities Management: Organize and maintain a clean office environment, including common areas, order supplies, service work, arrange office equipment and facilities maintenance, process incoming/outgoing faxes, and distribute all outgoing and incoming mail and packages through USPS, UPS, FedEx, courier, and overnight services.
  • Event Coordination: Proactively plan and support internal and external events and meetings to support the People and Culture pillar of our strategic plan.
  • Financial Operations: Process weekly expense reports for staff and support timesheet submission coordination, if needed, prepare check requests as needed, including society memberships, licensure renewals, and miscellaneous invoices.
