Position Overview

The role involves providing essential support to the Intellectual Property Department in the acquisition and safeguarding of the Company’s intellectual property rights on a global scale. This includes managing the Department's electronic systems and operational procedures.

The ideal candidate will possess a college degree and ideally have a minimum of three years of experience with legal electronic billing systems, as well as experience in the intellectual property sector or equivalent professional background. This position is based at the Corporate Headquarters in Chicago, Illinois, with the possibility of remote work for up to three days a week. Travel requirements are minimal, typically limited to meetings at the Corporate Innovation Center.

The selected individual will collaborate closely with the Company’s intellectual property attorneys, paralegals, and other legal department members, as well as inventors and external legal counsel. Coordination with patent attorneys and staff from affiliated companies in various countries will also be necessary.

Key Responsibilities

  • Oversee the Intellectual Property Department's utilization of the CounselLink electronic billing system, including initiating new matters, generating reports, resolving issues from submissions by external law firms, and ensuring compliance with invoicing procedures.
  • Facilitate intercompany billing processes between the Company and its affiliates using CounselLink and services from external vendors.
  • Collaborate with the Company’s Oracle system and accounts payable team to ensure timely payment of invoices from outside counsel and vendors.
  • Provide monthly accruals for legal invoices based on input from external counsel.
  • Independently address and resolve invoicing and accounts payable challenges.
  • Prepare routine correspondence and reports related to intellectual property administrative tasks.
  • Manage the disbursement of monetary awards to inventors.
  • Assist in the management of electronic and physical files for the Company’s global patent and trademark portfolio, including maintaining docketing records.
  • Support IP attorneys with scheduling meetings, arranging travel, and processing expense reports.

Qualifications

  • Bachelor's degree required.
  • Experience with legal electronic billing systems, with a preference for three years or more.
  • Experience in the intellectual property domain, ideally with three years or more.

Skills Required

  • Proficient in Microsoft Office Suite, including Outlook, Excel, and PowerPoint.
  • Familiarity with legal electronic billing systems.
  • Basic knowledge of patents, trademarks, and other intellectual property concepts.
  • Strong verbal and written communication skills.
  • Attention to detail and organizational skills necessary for preparing legal documents and managing multiple tasks efficiently.

Preferred Skills

  • Experience with CPI or similar patent docketing systems.
  • Familiarity with Oracle or comparable accounting software.
  • Experience with the CounselLink electronic billing system.

Compensation will be commensurate with qualifications and experience.
