JOB SUMMARY

The Night Reception Specialist is responsible for managing front desk operations during the evening hours. This role includes providing professional and courteous service to guests arriving, departing, and currently staying at the hotel. The specialist will address inquiries via phone and in-person, offering accurate information regarding reservations, hotel amenities, and guest concerns. Additionally, the position involves auditing, balancing, and reporting on various hotel operations to ensure compliance with company policies and procedures.

CORE RESPONSIBILITIES
  • Facilitate guest check-ins by verifying reservations, assigning rooms, and issuing room keys.
  • Handle all forms of payment, including room charges, cash, checks, debit, and credit transactions.
  • Manage guest check-outs, resolving any late or disputed charges as necessary.
  • Respond to and document all guest communications, including calls, messages, requests, and concerns.
  • Collaborate with the Housekeeping department to monitor room readiness for incoming guests.
  • Provide guests with directions and information about the hotel and local attractions.
  • Generate daily reports detailing arrivals, departures, and special requests, ensuring accuracy in documentation.
  • Complete cashier duties and closing reports within the hotel management system.
  • Maintain positive customer relations by staying informed about in-house events and local activities to address guest inquiries effectively.
MINIMUM QUALIFICATIONS
  • Prior experience in hospitality is preferred but not mandatory.
EDUCATION/ FORMAL TRAINING
  • High school diploma or equivalent experience is required.
LICENSES / CERTIFICATIONS
  • Not applicable.
WORK ENVIRONMENT
  • Position requires prolonged standing in a climate-controlled indoor environment.
  • Work is primarily conducted indoors, approximately 95% of the time.
PHYSICAL DEMANDS
  • Standing, bending, and kneeling are essential for 90% of the shift.
  • Mobility is necessary to access all areas of the hotel to assist guests.
  • Occasional lifting and carrying of files and office materials up to 25 lbs may be required.
