Position Overview
The individual in this role will assist the recreational therapy department within a long-term care setting, performing a variety of administrative tasks. Responsibilities include managing schedules, documenting participant attendance, compiling data for reports, preparing activity timetables, sending reminders for important deadlines, and overseeing inventory of supplies.
This position requires close interaction with residents to ensure their safety and comfort, providing assistance during activities and fostering an inviting atmosphere.
Strong organizational skills, effective communication, and the ability to prioritize tasks are vital for enhancing the recreational experience of residents.
Key ResponsibilitiesThe following functions are essential and represent the core duties associated with this position:
- Process information, including sorting, coding, entering, modifying, deleting, filing, and retrieving data; establish new files and filing systems; maintain data control and conduct follow-ups to ensure operational continuity; purge and dispose of records as necessary.
- Engage with the public, clients, vendors, and agency staff to respond to inquiries and process information/data. Responsibilities may include scheduling appointments and coordinating office activities.
- Provide explanations regarding standard forms, policies, procedures, agency services, and basic program requirements; screen complaints and offer basic technical guidance to the public and state agencies; refer individuals to appropriate resources.
- Collect and compile data for report preparation; may involve composing and typing routine correspondence.
Applicants must demonstrate competence in the following areas:
- Six months of experience in office operations, including the use of office equipment, managing mail services, answering phones, directing calls, and maintaining files and supplies.
- Knowledge of data collection processes, including compiling and maintaining information from various sources.
- Familiarity with record-keeping practices.
- Experience using automated information systems for data entry, updates, modifications, and reporting.
All candidates must undergo a pre-employment drug test and a satisfactory criminal background check as part of the hiring process. Applicants must be legally authorized to work in the United States.
