Job Summary

We are seeking a highly skilled Practice Lead to join our team at The University of Chicago Medicine. As a Practice Lead, you will play a critical role in ensuring the smooth operation of our ambulatory practice, providing exceptional patient care, and contributing to the overall success of our healthcare system.

Key Responsibilities:

  • Supervise and manage the daily activities of front and back-office staff, ensuring efficient and effective patient flow and customer service.
  • Develop and implement policies, objectives, and procedures to improve practice operations and patient satisfaction.
  • Collaborate with clinical staff to ensure timely patient rooming, special needs are recognized, and addressed.
  • Manage the checkout process, ensuring staff and processes are efficient and effective, and incorporate all applicable service standards.
  • Ensure staff collect co-payments, resolve outstanding balances, schedule follow-up appointments, and provide after-visit summaries.
  • Maintain a thorough understanding of front and back-office positions, including Receptionist, Schedulers, and Patient Service Representative.
  • Manage physicians' templates in automated scheduling systems to ensure physician and patient satisfaction.
  • Ensure patient arrival times are noted, necessary paperwork is distributed, and patients are informed of wait times.
  • Order supplies related to clerical activities.
  • Ensure staff follow point-of-service collection policies and procedures and understand all aspects of billing compliance.
  • Support processes associated with pre-certification and authorizations, and manage relevant billing work queues.
  • Serve as a contact and representative for customer service issues, resolving them promptly.
  • Support clinical staff and physicians regarding clinical care initiatives, quality and safety, compliance, and risk issues.
  • Work closely with the Practice Manager to manage recruiting, hiring, orienting, training, and payroll, complying with all UCMC policies and procedures.

Requirements:

  • Associates degree in a related field.
  • 5+ years of experience in healthcare and customer service, ideally in an ambulatory practice.
  • Excellent interpersonal skills, including the ability to establish and maintain effective relationships with patients, physicians, management, staff, and other customers.
  • Exceptional customer service skills, including the ability to use independent thinking, sound judgment, and creativity when resolving customer issues.
  • Ability to balance multiple priorities and effectively handle challenging situations.
  • Excellent verbal and written communication skills.
  • Ability to use personal computers and select software applications, including Epic.
